Job Description:
E2PM is seeking a dynamic, highly motivated, organized and energetic Administrative Assistant to join our staff of professionals providing engineering design, analysis, permitting and construction support for clients throughout the Tri-State area.
Responsibilities include executing and overseeing daily administrative duties including but not limited to staffing support, priority and task tracking calendar coordination and meeting minutes.
Ability to manage projects independently, prioritize work assignments, be responsive, and multi-task are a must for the successful candidate in this fast-paced environment.
The ideal candidate must be a self-starter and have strong technical, analytical, and communication skills.
General Duties and Responsibilities:
- Provide general office support to Project Managers and employees through a variety of tasks related to organization and communication to ensure efficient operation of the office.
- Assist Project Managers with the preparation of application paperwork and submit site plan and permit application packages to various agencies, boards and committees.
- Provide reproduction related tasks (i.e. scanning, copying, binding, collating and mailing) for assigned Project Managers.
- Create and maintain project files for assigned Project Managers.
- Upload deliverables to client websites and agency databases/portals.
- Assist the Marketing Manager with the managing and execution of the various proposals and companywide marketing initiatives.
- Answer incoming telephone calls for the purpose of screening calls, transferring calls, responding to inquiries and/or taking messages.
- Communicate with agencies, government offices and client representatives.
- Make deliveries as needed.
Qualifications:
- High School Diploma required. Associates and/or Bachelor’s degree preferred, 5+ years of experience.
- Prior experience working in a Civil/Site Engineering office is a plus.
- Proficiency in Microsoft Office is required.
- Strong verbal and writing skills.
- Self-disciplined and able to work independently and effectively in a group environment.
- Clean driving record.
