JOB TITLE:ADMINISTRATIVE ASSISTANT-RESIDENTIALSTATUS:
DEPARTMENT: RESIDENTIAL SERVICES
REPORTS TO:
JOB SUMMARY: Enthusiastic and professional, highly organized in providing support to the F/T Department Administrative Assistant. Experienced with training in a wide range of office administraiton tasks. Able to work under pressure and collaborate with a team. Successful record of fielding phone calls, providing information to clients and acting as liason between the Residential Department and all other VHS departments.
JOB RESPONSIBILITIES:
1. Assist and collaborate with the FT Administrative Assistant to enhance daily program operations.
2. Set up and maintaint Supportive Housing tenant files.
3. Obtain financial information and documentation for lease agreements.
4. Provide assistance in processing, filing, telephone and general clerical needs of the Residential Service Department staff.
5. Maintain and track current client caseload list.
6. Track and schedule residential staff for First Aid and CPR training.
7. Collect and compile data on residential chart audits, and participate in Quality Assurance reviews and projects.
8. Acts as a liasion between the Finance Department and Residential Department to maintain accurate and timely record keeping of account balances.
9. Maintain active balance of Residential accounts.
10. Assist clients with questions about balance due billing and determine payment schedule.
11. Prepare accounts with outstanding balances due for lease violations.
12. Ensure that client inquiries made via mail or telephone are properly responded to.
13. Adhere to requirements in General Skills Evaluation.
14. Will perform other duties and responsibilities as assigned and requested by VHS managment to support VHS Mission, Vision and Values, without giving up the right to the grievance process.
JOB QUALIFICATIONS:
Education: High School diploma, Business School education preferred. Knowledge of Microsoft Office.
EXPERIENCE/KNOWLEDGE: Work experience, preferably in a medical environment. Good organizational and communication skills. Computer and word processing knowledge. Bilingual in Spanish a plus.
OTHER:
Physical: Visual and auditory acuity sufficient to evaluate, treat, and monitor client needs, recognize clients, and maintain accurate records. Fine motor skills for legible written documentation and use of keyboard. Ability to work required hours and fulfill job requirements. Basic computer and word processing skills.
