Position Description:

Senior Administrative Assistant

This position provides full administrative support to the Global Competitive Intelligence team. The position requires excellent organizational and professional communication skills, flexibility, and collaboration. Primary activities include, but are not limited to, the following:

  • General and confidential clerical and administrative duties

  • Expense management and financial budget support, including profit planning

  • Manage agreement and contract creation and signatures

  • Facilitate procurement processes to initiate new purchase orders and process invoices while maintaining accurate recordkeeping

  • Maintain calendars and meeting scheduling, coordinating with Senior Administrative staff throughout the organization

  • Meeting logistics including the management of recurring department meetings and events

  • Scheduling of international and domestic travel

  • Effectively interact with our Company's executives and internal clients both on-site and remotely

  • Support virtual meetings using the latest technologies for Teams, Teleconferences and Webcasts, ensuring seamless execution of logistics

  • Ensure accurate posting and retention of documentation such as confidentiality agreements and contracts

  • Provide confidential executive administrative support in handling a variety of business and HR-related activities

Position Qualifications:

Education Minimum Requirement:

  • Required: High School Diploma

  • Preferred: Advanced education or certifications such as (e.g. Certified Administrative Professional, Project Management Professional Certification)

Required Experience and Skills:

  • Minimum 8 years Administrative Assistant experience

  • Minimum 3 years Administrative experience supporting senior level management position

  • Excellent written and verbal communication skills

  • Advanced computer skills using (MS Outlook, Word, Excel, Power Point, SharePoint, Teams)

  • Extensive SAP and ARIBA experience processing Expense Reports, Purchase Orders, Payment Requests, Vendor Add Forms

  • Organization and time management; ability to handle and prioritize many simultaneous assignments

  • Good judgment and discretion handling sensitive documents and maintaining confidentiality

  • Ability to work both independently with little supervision and in a collaborative team environment

  • Extraordinary attention to detail

Under New York City, Colorado State, Washington State, and California State law, the Company is required to provide a reasonable estimate of the salary range for this job. Final determinations with respect to salary will take into account a number of factors, which may include, but not be limited to the primary work location and the chosen candidate's relevant skills, experience, and education.

Expected salary range:

$78,700-$123,800

U.S. Hybrid Work Model
