Job Summary
This position serves as initial contact and secondary back-up receptionist for the Executive Suite on a rotational basis and providing back-up administrative and clerical support as needed.
Under limited supervision, the Executive Assistant provides administrative support services to the Vice President of Finance and Operations and the Vice President of Information Technology Services. This position also provides limited administrative support services to the Directors of the units reporting to the two Vice Presidents, including: Physical Plant, Public Safety, Auxiliary Services, Business Services, and Information Technology Services.
The position provides coordination of several diverse operations to ensure the two Vice Presidents' various areas of responsibility function in an organized, confidential, and efficient manner. Independent decision-making skills are utilized to ensure the smooth operation of the office, as are the ability to understand moderately complex data sets and the ability to create reports via business intelligence tools.
Under limited supervision, this position serves as initial contact and secondary liaison for the Executive Suite.
This position is considered confidential and is in the Commissioner's Plan and may beeligible for partial telework in accordance with Minneapolis College's telework guidelines
Qualifications
Minimum Qualifications
- Customer service skills sufficient to perform responsibilities described above with courtesy, respect, and interest in a positive problem-solving manner. Answer the phone, refer callers, and greet visitors with courtesy and respect. Provide prompt, courteous and accurate information to customers in person, on the phone, and throughe-mail and other written correspondence.
- English including reading, writing, and speaking sufficient to communicate with a wide range of internal and external customers, interpret and respond to a variety of materials, and follow detailed and complex instructions.
- Math aptitude and basic accounting procedures sufficient to calculate expenditures, resolve discrepancies, prepare and monitor budgets.
- Lead work sufficient to manage, organize and direct tasks and projects, follow up with appropriate administrators and staff, lead meetings, and perform all responsibilities of the position.
- Skills in word processing sufficient to use software to create, format, edit, print and save a variety of documents and spreadsheets.
- Ability to develop, modify, and evaluate/improve administrative and program procedures.
- Demonstrates an ongoing understanding of cultural fluency, incorporates culturally responsive practices, and actively engages in antiracism professional development learning opportunities.
Additional Requirements
- Must be in good standing with Minneapolis College (MCTC).
In accordance with the Minnesota State Vehicle Fleet Safety Program, employees driving on college/university business who use a rental or state vehicle shall be required to conform to Minnesota State'svehicle use criteria and consent to a Motor Vehicle Records check.
