The Minnesota Department of Human Services (DHS) is seeking qualified and enthusiastic individuals to join our Forensic Services within the Direct Care and Treatment (DCT) division of agency.
The Forensics Services campus in St. Peter is comprised of the Forensic Mental Health Program and the Forensic Nursing Home.Forensics Servicesprovides mental health evaluation and treatment services to individuals diagnosed with a mental illness who present a risk to public safety. This is a safe and secure treatment environment.
The Office & Administrative Specialist Intermediate will provide administrative support to the Forensic Nursing Home program. The incumbent must be able to perform the essential functions of the job, with or without reasonable accommodation. Performs other duties as assigned.
• Ensuring meeting minutes are concise, accurate and completed in a timely manner. Written correspondence, facsimiles and verbal communications are timely and accurate.
• Making sure employee position descriptions are prepared and updated.
• Submitting Archibus requests in a timely manner.
• Ordering supplies in a timely manner.
• Making appropriate purchase card purchases.
• Sharing opportunities for process improvement with supervisors.
• Completing assignments in a timely manner.
• Maintaining conference and visit room schedules.
• Managing cash fund.
• Completing all assignments on a timely basis, per instruction provided and notify supervisors of completion (inform of any problems in completion if applicable).
• Demonstration of commitment to the mission and values of the organization, the rights of people with disabilities to live with dignity and respect, and the philosophies of inclusion and strengths-based, person-centered planning.
• Adapting to Change: Anticipate, keep pace and be proactive in addressing patients' evolving needs within a development service delivery system.
The position needs to complete responsibilities timely and qualitatively to assure the confidence of the Forensic Services supervisor and staff. The individual must be capable of prioritizing workload priorities and working autonomously, but able to request supervisor assistance when indicated. Routine duties and projects must be completed timely and consistently, following initial instruction or per established guidelines. The individual is expected to request consultation of the supervisor for issues/concerns that exceed the parameters of the position description and/or for which further clarification is needed to complete the assignment.

• Customer Services skill sufficient to provide respectful, polite services and communication with stakeholders
• Data Entry skills sufficient to enter metadata accurately
• Database Management skills sufficient to navigate and utilize multiple database systems, software applications and using multiple monitors
• English Language skills sufficient to sufficient to understand and compose, written correspondence; and to communicate effectively with co-workers and stakeholders
• Physical demands of this position include including standing, sitting, pulling, stooping, ability to move arms on a continual basis sufficient to open lift record boxes (greater than 30 lbs), mail, sort and file documents, perform repetitive tasks
• Experience with Records Management and electronic document management
• Experience with data systems such as FileNet, Phoenix, Electronic Document Management System (EDMS)
