Job Summary


** The Minnesota Department of Transportation does not sponsor applicants for work visas or Optional Practical Training Extensions for STEM Students. Individuals must be legally authorized to work in the US at the start of employment.

This position is located at Central Office in St. Paul and has flexibility to work a hybrid schedule or work full-time in the office. If the incumbent chooses a hybrid schedule, a telework arrangement with their supervisor is required.

As the Administrative Support Specialist in the Office of Civil Rights, provide Administrative Support to the Director and Operations Manager. This position manages calendars, prepares correspondence, organizes all aspects of meetings including preparation of agendas and meeting minutes, prepares PowerPoint presentations, performs data entry, develops and maintains spreadsheets for tracking and reporting, maintains records in accordance with the retention schedule files, and performs other duties as assigned.

This role supports the external civil rights programs that are required in MnDOT contracting, including Title VI, Title VII, the On-the-Job Training (OJT), Tribal Programs, and Small Business Programs administered pursuant to state and federal laws and regulations

Qualifications

Minimum Qualifications

  • Skill using business grammar, spelling and punctuation to write, develop and edit reports, letters, procedures, presentations and other documents.
  • Knowledge of computer software applications to create spreadsheets from a variety of sources, compile lists, track projects and activities.
  • Ability to accurately enter, organize, store, modify, retrieve data, and run reports using a database.
  • Skill in math sufficient to calculate, review and reconcile financial data and balance accounts.
  • Skill in providing prompt and accurate information to customers in person, on the phone, and through email and other written or electronic correspondence.

Preferred Qualifications

  • Experience working within a large organization or state government agency.
  • Advanced Administrative Support experience including meeting preparation, report writing, and minute-taking.
