Job Summary
Minneapolis College is seeking a full-time, unlimited Dean's Assistant. This position serves as the primary administrative support to and liaison for Academic Deans, their faculty, and staff in the associated programs. Responsibilities include, but are not limited to:
- Manage and monitor essential functions within Academic Affairs to ensure the smooth functioning of the Academic Schools.
- Provide administrative support to Academic Deans to help them to accomplish their job responsibilities in a timely and accurate manner.
- Assist other Dean Assistants and serve as a back-up with activities and special projects as needed.
- In cooperation with the Academic Dean, generate, proofread, and verify faculty assignments in Faculty Workload Management (FWM) in a timely manner in accordance with the MSCF Contract.
- Monitor, prepare, review and route contracts, requisitions and invoices to ensure proper fiscal management of institutional cost centers and fiscal resources.
Qualifications
Minimum Qualifications
- English sufficient to: speak, read, understand, and respond to a variety of written and spoken communications; apply accurate spelling and grammar in written communications; and communicate effectively with internal and external customers.
- Skills in customer service sufficient to perform the duties described with courtesy, respect, and interest in a positive problem solving manner. Answer the phone, refer callers, and greet visitors with courtesy and respect. Provide prompt, courteous and accurate information to customers in person, on the phone, and through e-mail and other written correspondence.
- Knowledge of current data entry procedures, including filing and storage; typing/keyboarding sufficient to perform skilled typing tasks with speed and accuracy; and word processing sufficient to use software to create, format, edit,print, and save a variety of documents, including spreadsheets.
- Skill in using spreadsheet software applications, such as Microsoft Office, to enter, compile, store, and retrieve data in a variety of reports.
- Skill in database management to (1) enter and retrieve data for reports; (2) sort or classify information into existing databases according to established guidelines; and (3) collect, compile, maintain, and present data from multiple databases.
- Demonstrate an ongoing understanding of cultural fluency, incorporate culturally responsive practices,and actively engage in antiracism professional development learning opportunities.
