Job Description:
Our busy, client-focused office needs a reliable, well-organized Administrative of Assistant to handle day-to-day operations with a focus on efficiency and time management. We are looking for an energetic, loyal and honest professional who does not mind wearing multiple hats throughout the day and has at least 5 years of property management experience. The successful candidate will have a positive attitude, a desire to work as efficiently as possible, vendor communication skills. This job may include some overtime as well as occasional weekend work. We are looking for someone who can operate effectively, even with little or no supervision and who can manage multiple tasks at once. Must live within close proximity.
Responsibilities Include:
- Order office supplies as needed.
- Computer skilled.
- Computer literacy is a must.
- Microsoft Word, Excel, Adobe and Outlook. (Capable of learning other software)
- Daily use of email system- Outlook.
- Excellent written and verbal communication skills.
- Comfortable with fast-paced environment.
- Knowledge of clerical practices and procedures.
- Ensure filing systems are maintained and current.
- Daily use of office equipment- Printer, Fax, Scanner, Typewriter, U.S. Postage Meter, etc.
- Assist Management with administrative, clerical and some financial duties.
- Answer incoming phone calls from the public, vendors, residents and potential residents.
- Accounts Receivable/Payable; collect, record and process monthly rent payments in Yardi Breeze.
- Attend to the needs of the residents when they call, by processing maintenance request forms. Dispatch request to maintenance staff, follow up with completion of such. Records and files completed forms.
- Is ready and prepared for on calls and to answer phone calls from Management at any time.
