SUMMARY:
Greets Customers and Visitors and creates a warm and professional environment in the office entry way. Performs administrative and accounting duties as assigned in support of the Company.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
· Answers phones and directs calls
· Purchases consumable materials and various office and shop supplies
· Assists in basic accounting duties such as performing credit verifications, processing payments, sending invoices, creating Sales Orders etc.
· Two way invoice matching (PO and Pack slip)
· Assists in basic HR functions such as preparing required paperwork, Benefits data entry and answering Employee questions.
· Communicates and provides information to external accountants
· Vendor and customer setup in QuickBooks including w-9, tax reseller permits
· Assists in event planning and coordination
· Data entry and records maintenance
· Filing
· Ensures quality of all incoming & outgoing assignments
· Performs other administrative duties as assigned when needed
QUALIFICATIONS:
· High School diploma or equivalent
· Excellent Excel experience desired
· Experience with QuickBooks preferred
· Solid documentation, organization, and record keeping abilities
· Demonstrates excellent customer service skills to internal staff, visitors and external customers
· Demonstrates flexibility in work assignments
· Ability to prioritize and handle multiple deadlines under pressure
· Effective communication skills, both written and oral in English
· Demonstrates team oriented mind set
· Flexible personality that can move between departments/job functions as needed
