Keeping Washington Clean and Evergreen

The Financial Services Division (FSD) within the Department of Ecology is looking to fill an Executive Assistant (Administrative Assistant 5)position. This position is locatedin our Headquarters Office inLacey, WA. Upon hire, you must live within a commutable distance from the duty station.

In this position, you will serve as the Executive Assistant to Ecology's Chief Financial Officer (CFO) who is also the FSD Director. You will be part of a team that manages the agencies $3 billion-dollar biennial budget addressing priority environmental and public health issues across the state. You will hold delegated authority and responsibility for administrative matters for the CFO, and establish and coordinate office operations, standards, and priorities to ensure efficient and effective support to the CFO and the Financial Services Management Team. You will communicate and coordinate with FSD and other Executive staff on a wide range of division and budget topics in support of the CFO’s Office and help to ensure Ecology’s reputation for financial integrity and credibility is maintained. You will also serve as the CFO’s human resources representative.

Duties



What makes this role unique?

In this role, you will serve as the principal assistant to the Chief Financial Officer (CFO), with responsibility for administrative matters and communication in matters affecting the CFO, the CFO’s direct reports, and all Financial Services Division (FSD) staff. You will be a primary contact for many within the division, the agency, and with external partners and must fully embody program goals and objectives.
What you will do:
  • Manage the CFO’s calendar - schedule meetings; understand meeting content well enough to strategically schedule time in alignment with CFO and FSD priorities; ensure agendas and meeting materials are provided in advance of meetings to the extent practicable.
  • Manage emails - respond on behalf of the CFO; direct emails to the appropriate contact; highlight important/high-priority items to the CFO and FSD management team; track and keep records of paperwork.
  • Coordinate routing of contracts, receivable agreements, federal funding applications and other paperwork to the CFO for approval/signature.
  • Manage management team agendas - solicit topics, determine timing of agenda items, and ensure supporting material is provided. Participate in management discussions, taking meeting notes and documenting next steps and required follow-up items.
  • Exercise signature authority on behalf of CFO for various items.
  • Event planning for meetings (in person and remote) - reserve spaces, transportation; contact guests and ensure their needs are met.
  • Coordinate personnel actions and maintain records for the CFO’s office.
  • Participate in the hiring process to include drafting forms and memos for hiring actions, forming interview panels, developing interview questions, scheduling interviews, conducting interviews, and devising scoring criteria.

Qualifications

Required Qualifications:
Years of required experience indicated below are full-time equivalent years. Full-time equivalent experience means that any experience where working hours were less than 40 hours per week will be prorated in order to meet the equivalency of full-time. We would calculate this by looking at the total hours worked per week, divide this by 40, and then multiply by the total number of months worked. Examples of the proration calculations are:


  • 30 hours worked per week for 20 months: (30/40) x 20 months = 15 months full-time equivalent
  • 20 hours worked per week for 12 months: (20/40) x 12 months = 6 months full-time equivalent
Experience for both required and desired qualifications can be gained through various combinations of formal professional employment, education, and volunteer experience. See below for how you may qualify.
A total of six years of experience and/or education as described below:
  • Experience: clerical, secretarial, bookkeeping, accounting, or general administrative office work experience or supervisory experience.
  • Education: involving major study in business administration, public administration or closely allied field.
All experience and education combinations that meet the requirements for this position:
Possible Combinations
College credit hours or degree - as listed above.
Years of professional level experience - as listed above.

Combination 1
High school graduation or equivalent / No college credit hours or degree.
6 years of experience.

Combination 2
30-59 semester or 45-89 quarter credits.
5 years of experience.

Combination 3
60-89 semester or 90-134 quarter credits (AA degree).
4 years of experience.

Combination 4
90-119 semester or 135-179 quarter credits.
3 years of experience.

Combination 5
A Bachelor's Degree or above.
2 years of experience.


OR
One year of experience as an Administrative Assistant 4 at the Department of Ecology.
OR
Two years of experience as an Administrative Assistant 3 at the Department of Ecology.
