Administrative Assistant, Estuary Restoration Project - PROJECT POSITION
(Administrative Assistant 3)
Monday - Friday | 8AM - 5PM | HYBRID

Who you are:
As an Administrative Assistant, you will provide complex administrative support to the Special Assistant to the Director who is the agency's champion for leading our environmental and energy policy initiates and projects to build climate resilience and sustainability across the agency.
In this role you will also have a direct impact on the Deschutes Estuary Restoration Project by providing primary administrative and communications support to the project team including calendar management, meeting support, event and tour planning, speaking engagement coordination and travel arrangements. Your passion for contributing to an environmental legacy project will help shape the City of Olympia and community for future generations.
About the Deschutes Estuary Restoration Project:
The purpose of the Deschutes Estuary Restoration Project is to implement an environmentally and economically sustainable long-term management of a restored estuary that improves water quality, improves ecological function, and manages existing sediment accumulation and future deposition. These efforts would restore and enhance community use of the resource. More information about the project can be found:
Duties
Some of what you will enjoy doing:
  • Serve as principal assistant to the Special Assistant to the Director including managing calendar and organizing meetings.
  • Act as liaison between the Special Assistant and department staff.
  • Provide communication and administrative support to the Deschutes Estuary Restoration Project team including scheduling all project team meetings.
  • Coordinate division travel arrangements, manage equipment and purchasing, provide budget support, and serve as the public records coordinator.
  • Coordinate and actively participate in project-related meetings, workshops, and community engagement activities; transcribe and distribute meeting notes.
  • Prepare presentation and meeting materials, distributing them to relevant stakeholders ahead of meetings.
  • Maintain and update stakeholder lists and contact information.
  • Organize project-related meetings, tours, and field trips with Tribal, local, state, and federal entities, as well as special interest groups; monitor project voicemail and coordinate responses to inquiries and public records requests. .

Qualifications
Required Qualifications:
  • High School Graduate or GED.
  • Three (3) years of progressively responsible experience in office/clerical, secretarial, bookkeeping, accounting, or general administrative work.
    • Note: Formal education may substitute for professional experience year-for-year.
  • Advanced competency in operating the most current versions of MS Office, PowerPoint, Excel, and Outlook.
  • Outstanding command of the written language, and excellent writing skills, with attention to detail in formatting and editing reports, correspondence, and other documents.
  • Ability to communicate effectively, both in writing and verbally, and work effectively with others at all levels.
  • Self-motivated individual with a positive work ethic and high standard of professionalism.
  • Excellent time management skills and ability to independently plan and manage time effectively, prioritize work and complete assignments timely and accurately.
  • Experience supporting managers and maintaining confidentiality when working with sensitive information.

Preferred Qualifications:
  • Bachelor's degree with an environmental emphasis.
  • Three (3) years working at a executive-level Administrative Assistant role.
  • Knowledge of project management, meeting planning and/or management administrative duties.
  • Knowledge and understanding of record retention.
  • Knowledge of federal, state, tribal and local governments.

Insurance Benefits
Employees and their families are covered by medical (including vision), dental and basic life insurance. There are multiple medical plans with affordable monthly premiums that offer coverage throughout the state.

Retirement and Deferred Compensation
State Employees are members of the Washington Public Employees' Retirement System (PERS). New employees have the option of two employer contributed retirement programs. For additional information, check out the Department of Retirement Systems' web site.
Employees also have the ability to participate in the Deferred Compensation Program (DCP). This is a supplemental retirement savings program (similar to an IRA) that allows you control over the amount of pre-tax salary dollars you defer as well as the flexibility to choose between multiple investment options.
Social Security
All state employees are covered by the federal Social Security and Medicare systems. The state and the employee pay an equal amount into the system.
Public Service Loan Forgiveness
If you are employed by a government or not-for-profit organization, and meet the qualifying criteria, you may be eligible to receive student loan forgiveness under the Public Service Loan Forgiveness Program.
Holidays
Full-time and part-time employees are entitled to paid holidays and one paid personal holiday per calendar year.
Note: Employees who are members of certain Unions may be entitled to additional personal leave day(s), please refer to position specific Collective Bargaining Agreements for more information.
Full-time employees who work full monthly schedules qualify for holiday compensation if they are employed before the holiday and are in pay status for at least 80 nonovertime hours during the month of the holiday; or for the entire work shift preceding the holiday.
Part-time employees who are in pay status during the month of the holiday qualify for the holiday on a pro-rata basis. Compensation for holidays (including personal holiday) will be proportionate to the number of hours in pay status in the month to that required for full-time employment, excluding all holiday hours. Pay status includes hours worked and time on paid leave.
Sick Leave
Full-time employees earn eight hours of sick leave per month. Overtime eligible employees who are in pay status for less than 80 hours per month, earn a monthly proportionate to the number of hours in pay status, in the month to that required for full-time employment. Overtime exempt employees who are in pay status for less than 80 hours per month do not earn a monthly accrual of sick leave.
Sick leave accruals for part-time employees will be proportionate to the number of hours in pay status, in the month to that required for full-time employment. Pay status includes hours worked, time on paid leave and paid holiday.
