Summary:
The Administrative Assistant - Employee & Guest Services is a part of the Employee Experience Team and will be the first point of contact to greet employees AND GUESTs delivering excellent customer service. This role will be responsible for providing critical business and administrative support to our global operations. This individual will operate our multi-line telephone system by answering incoming calls and directing accordingly, addressing questions and needs, and providing an overall welcoming environment and concierge level service as a part of our team.

- Welcomes on-site employees AND GUESTs, determines nature of business, and announces guests to appropriate personnel. Monitors visitor access and issues passes as required.
- Operates a multi-line phone system by answering incoming telephone calls, determining the purpose of callers, providing accurate information, and directing calls to appropriate personnel or department.
- Performs administrative duties such as creating and running reports, coding invoices, preparing presentation and training materials, assisting with employee onboarding, supporting key Employee Experience and HR initiatives like employee food service, housing and travel, and working with external vendors.
- Performs general clerical duties such as processing mail and shipping requests, data-entry and recordkeeping, event support, ordering, stocking, and maintaining refreshments and office supplies, reserving company vehicles, and internal communications support.
- Normal working hours are 8:00 a.m. - 5:00 p.m. on site in Ballard on Monday-Friday.
his is a nonexempt position with an hourly rate of $23 to $29.

Required Qualifications (education, years of experience, KSAs)
- A minimum of two years of experience in a business office environment or administrative experience.
- Must possess strong written and verbal communication in English and Spanish
- Excellent customer service skills
- Proficient in Microsoft Office, including Outlook, Word, Excel, etc.
- Strong problem-solving skills and ability to prioritize multiple tasks.
- Able to work both independently and within a team generating results with general/minimal guidance.
Preferred education and experience
- An associate's degree; or equivalent combination of education and experience.
- Ability to do basic data manipulation and auditing.
- Experience operating a telephone switchboard.
Work environment (includes travel/on-call):
- On site office environment at Trident Support Center in the Ballard neighborhood of Seattle, WA.
- This is in a corporate office setting, noise level is moderate
