What you'll be doing as an Administrative Assistant:
- Always maintain confidentiality of your job and Coast’s practices and clients.
- Maintain accurate distribution lists/records and manage the distribution process.
- Corporate and property administrative duties include but are not limited to client financial distribution to SharePoint portal, property database input, tracking commercial and multifamily property, and general liability insurance. Various types of scanning, filing, i.e., e-filing and paper filing.
- Assisting with company answering service process and routing calls when necessary
- The handling of certified and special courier packages
- AFHMP tracking and submission.
- Resident selection plans
- MOR inspection tracking and admin support
- Operate postage machine, and maintain proper funding and supplies for a postage meter. Update postage software when needed. Track machine issues and schedule service as needed.
- Scanner/Copiers: maintain accurate property account codes and lists and ensure copiers/scanners are in good working order. Run monthly usage reports.
- Iron MT – record retention/archive process -Maintain accurate records, coordinate storage pick-up & delivery and maintain supplies.
- Coverage for other administrative positions to ensure back-office operations are adequate.
- Recommend & implement enhancements to existing processes to improve efficiencies & reduce costs.
- Run office-related errands as required.
- Additional duties as assigned by manager.
Are you qualified? (We hope so!)
● High School education or equivalent
● Experience with HUD, Bond, and Tax Credit (with ongoing educational and training in required fields)
● Able to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form
● Able to speak to residents and maintain good working relations with other team members and any contract laborers working on the property
● Previous clerical/administrative experience and experience with office computers and software
● Must have a valid driver’s license and reliable transportation
