POSITION SUMMARY:
Provides administrative and general office support to the administrative office of Transitional Services, Inc. Answers all incoming telephone calls and routes callers to the appropriate destination, sorts mail and utilizes portage meter, assists various departments and individuals with miscellaneous administrative functions (completing reports, filing, data entry, typing correspondence, etc.) on an as needed basis.
Assists the Accounting department with maintaining reports, ensuring data is entered accurately for reimbursement requests, verifies the accuracy of accounts payable requests such as credit card statements, and other tasks as assigned.
The incumbent will have a broad knowledge of receptionist and administrative duties, competence in Microsoft Office (Word and Excel), data entry, filing, word processing, and the operation of standard office equipment. Excellent organizational skills and refined written and verbal communication skills are required. Strong attention to detail and presentation are a necessity. Must be willing to follow agency policies regarding confidential information and be sensitive to the needs of individuals with a mental health diagnosis.
MINIMUM QUALIFICATIONS:
- Completion of a two-year business degree with advanced computer skills and competencies in typing, filing, and reporting, plus one-year paid office experience. Experience with electronic records and medical terminology preferred. (OR)
- High School Diploma supplemented by courses in typing, filing, advanced computer skills, shorthand/dictation and clerical abilities plus three years full time paid experience with demonstrated administrative competence. Experience with electronic records and medical terminology preferred. (AND)
- Must pass background checks.
PHYSCIAL REQUIREMENTS:
- Must be able to sit for extended periods of time.
- Must be able to stand up and walk regularly to escort guests, check fax machine, and retrieve mail/deliveries.
- Must be able to bend, twist, crouch, push, and pull up to 20 lbs as required.
