American Eye Associates is an awesome ophthalmology company with great pay and benefits, We have an opening in our Corporate Office (Chula Vista) for a Payroll/ AP Clerk. In this role, you will report directly to our CFO and will serve as an expert in processing bi-weekly payroll using our ADP Total Source software.
The successful candidate will prepare and process payroll and associated information. You are detail oriented, and you’d rather do a job right the first time versus do it twice! On a daily basis, you will update payroll records and process routine changes to employee records. In addition to processing payroll, you will use the basic functions of QuickBooks to process accounts payable checks on a daily and weekly basis. You will perform basic reconciliation and audit processes during each bi-weekly pay cycle. Mondays are your busy day as you verify everything is correct before submitting to CFO for sign off on payroll! You will check reports to verify that sick leave and vacation balances are accrued and deducted with 100% accuracy each pay cycle.
- In addition to bi-weekly payroll, you will post open positions using the ADP TotalSource software, assist in employee onboarding, track employee training using the ADP TotalSource Learning Management System and assign required trainings to newly hired employees.
- You will serve as a key liaison with ADP to help employees when they have a question regarding the ADP Total Source software. You will maintain employee personnel files and be available to assists employees as they use the ADP TotalSource website & App to input onboarding information, request vacation time off, request sick time off, complete assigned trainings, and request Leaves of Absence. You will serve as the ADP TotalSource expert, coordinating support from the staff at ADP to provide timely service for our employees.
- You will also maintain I-9 form compliance and other forms required of regulatory agencies. You will submit forms and reports required by the IRS and other regulatory bodies.
- During Benefits enrollment, you will partner with ADP to ensure that all employees receive Benefits information and enroll in Benefits if desired.
- While ADP is your best friend, you also like hanging out with QuickBooks. You have basic data entry skills with QuickBooks, and you will process accounts payable checks, logging entries into QuickBooks with 100% accuracy.
The ideal candidate will have:
- Experience with ADP, QuickBooks, Google Documents, MS Office Suite.
- Excellent interpersonal and communication skills with staff, patients, and physicians.
- Extremely high standards with a passion for excellence, integrity, and efficiency.
- Willingness to check and reply to emails within 2-3 hours in most situations.
- High level of integrity; ability to maintain confidentiality. Able to exercise maturity and sound judgment.
- Excellent written and oral communication skills. Solid understanding of English grammar, vocabulary, and punctuation.
