Medical Office Receptionist/Clinical Guest Coordinator
General Summary:
Receptionists are the first impression and “front line” of OAW! Referred to as “Clinical Guest Coordinators” (CGC’s), they efficiently and kindly greet and direct all visitors to our clinic including patients, medical sales representatives, package delivery persons, etc. Working under the general supervision of the Clinic Administrator and the Administrative Assistant, CGC’s are responsible for greeting patients, directing or announcing other visitors, preparing necessary forms and patient information for check in, collecting completed forms and payments, requesting medical records and imaging from outside facilities, scheduling appointments, maintaining accurate demographic, medical, and insurance information in the computer and helping answer phone calls. They also perform various miscellaneous tasks as assigned.
Principal Duties and Responsibilities:
- Promptly greets patients and office guests in a positive and helpful manner. Provides direction, assistance and information as needed
- Provides necessary forms to patients for completion and signatures and reviews and verifies forms for accuracy
- Maintains patient confidentiality at all times
- Verifies forms, updates patient demographic information, and enters medical insurance
- Promptly answers multi-line telephone calls, records messages for physicians, nurses and other staff as necessary
- Schedules patient appointments and revises patient schedules due to cancellations and changes to physician’s schedules
- Schedules follow-up appointments and makes necessary referral appointments for patients as requested by referring office or the patient
- Works with Billing Department in regards to medical insurance verification
- Maintains the office supplies and necessary forms; notifies the appropriate staff when supplies or forms are required in order to facilitate smooth operations
- Performs various clerical duties such as photocopying and scanning insurance cards
- Collects copayments, disability fees, outstanding balances, or surgery deposits and issues appropriate receipts
- Oversees the reception area and assures that the area is neat and tidy
- Attends monthly meetings as assigned and offers discussion at the meeting by voicing ideas and concerns
- Various other duties as assigned
Knowledge, Skills, and Abilities:
- Interpersonal skills necessary to deal effectively and courteously with patients, families and all levels of clinical staff
- Ability to read and write in order to prepare proper paperwork, generate encounter forms, and schedule patient appointments
- Performs mathematical calculations when processing patient receipts that requires a level of high school completion
- Previous medical office experience and terminology required
- Computer skills necessary for typing and proofreading; Use of practice management software, Epic, various insurance company portals, Microsoft Office, Word, Excel, and Outlook
- Ability to concentrate and attention to detail
- Ability to multi-task
- Knowledge of surrounding facilities to assist or direct patients to other locations as necessary
- Ability to be flexible and adapt to changing needs within the clinic

- Participates in professional development activities and maintains professional affiliations
- Maintains patient confidentiality; complies with HIPAA and compliance guidelines established by the practice
- Maintains detailed knowledge of practice management and other computer software as it relates to job functions
- Attends all regular meetings
- Performs all other tasks and projects assigned by the Manager or Physicians
Working Conditions:
Normal office environment. Minimal bending. Lifting of up to 50 lbs.
Reporting Relationships:
Reports directly to the Clinic Administrator, Administrative Assistant, and the Board of Directors
