Job Description
- Oversee customer service functions.
- Oversee all financial functions – Responsible for all payables, control report, monthly financials, receivables regularly, oversee billing.
- Process invoices.
- Review all past dues each week and when necessary make calls.
- Handle and manage any and all legal issues.
- Oversee all office employee issues as needed
- Manage all insurance needs (Business and Employee etc).
- Fill out all non-standard application, builder packs, contracts for new services.
- Maintain the company calendar.
- Other tasks as requested by the Operations Manager and CEO.
- Deal with builders, homeowners, etc.
- Talk with customers to schedule jobs.
- Debrief technicians.
- Handle payroll for employees.
- File invoices and other paperwork.
- Keep accurate data correct in the computer.
- Create new customer files.
- Send maintenance agreement renewals once a month.
- Emails for scheduling purposes.
- Call to schedule maintenance checks when needed.
- Order parts as needed.
- Customer follow up as needed.
- Answer phones
- Schedule installation jobs
- Call in inspections when needed
- Help receptionist when needed
- Other tasks as requested
- Strong writing skills
- Excellent analytical skills
- Understanding of financial statements
- Understanding of HR issues
- Communicates well with all personality styles
- 1-2 years dispatch experience
- Accurately enter data into the computer
- Ability to multi-task
- Ability to represent the company in a professional manner with customers, vendors, staff and the general public.
- Organized and detail-oriented
- Ability to work under pressure
- Must have valid drivers’ license and a good driving record
- Adaptability—the individual adapts to changes in the work environment, manages competing demands and is able to deal with frequent change, delays or unexpected events
