Construction Office Manager Full-Time (40 Hours per week)
Monday – Friday. We are open 7 AM – 5 PM and are flexible on your start time and lunch time

DESCRIPTION:
Extreme Plates has an immediate need for a Construction Office Manager that provides accounting and administrative support to the inside project team and field services.
Ensuring smooth day to day activities with office management, budget and cost control, administration of all associated construction compliances and documentation; processing of subcontractor and vendor invoices, accounts receivable with follow up and follow through, certified payroll uploads and documentation and preparing client billings through Quickbooks. Billing includes monthly rental cycles on many of our projects.
Certified payroll and prevailing wage project management.
This is a management level position. You will not be directly managing people yet, but you will be managing all aspects of the day-to-day administrative operations. This will include confidential Human Resource practices.

MUST have a valid drivers license and clean driving record, NO DUI’s! You will be driving a company car for daily errands to the post office and bank.
Essential Duties and Responsibilities:
· Work with the Client Services team to process and upload all budget, change order and cost adjustments and effective account receivable approach with our clients
· Work with DOT, DMV, and Commercial Driver regulations to stay compliant and up to date on appropriate registrations
· Track all compliance documentation per project needs
· Collect & review billing documents for completeness and enter into the Quickbooks
· Analyze, track, and implement lien waivers
· Document and track payment deficiencies until cleared by following up and following through with clients
· Provide financial reporting to the project team as needed
· Collect payroll bi-weekly and work with our payroll service for processing by the required deadlines, including prevailing wage projects, PTO reports, and deductions and/ or any wage garnishments
· Work within Quickbooks to enter and add cost codes and run reports
· Prepare client billings with the Client Service team, submit & track through payment from the client
· Ensure project team is following requirements for documentation, signatures & process for timely payment. Assemble and file necessary documentation for active and archived projects
· Oversee the needs of the office overall by managing the property. Working with our vendors for supplies to keep operations running smoothly
Required skills will include, but not be limited to:
· AP and AR using QuickBooks. Working with clients to pay efficiently!
· Pre-lims and Liens
· DMV / DOT Regulations and Registrations
· Rental Cycle Billing
· Payroll (we partner with a service) which includes prevailing wage often times
· Insurance
· Office Management of Administrative Procedures
· Human Resources
· Filing and implementing new filing structures for efficiency
· MS Office Suite Products
· CRM documentation
· Assisting Client Service team as needed
ADDITIONAL REQUIREMENTS:
Minimum five years’ work experience in an office administrative role; 2 years minimum in the construction industry. Contract Management and financial report maintenance experience
Procore experience a huge PLUS
Ability to effectively communicate and work as part of a team
Manage multiple tasks, produce quality work on time sensitive deadlines, while remaining flexible and able to pivot between tasks as needed
Adept in learning new software quickly and able to navigate and use to review, track, and upload various documents
