POSITION: Administrative/Personal Assistant
· This position is part of the Administrative Department where said employee will report directly to the Owner/Employer and will work closely with all other departments.
REQUIREMENTS:
· Valid driver’s license
· Reliable means of transportation
· Proven experience in administrative roles or similar positions
· Strong organizational skills with the ability to multitask and prioritize tasks effectively
· Must have QuickBooks experience
· Excellent phone etiquette and communication skills
· Customer Service experience
· Great Positive Attitude
· Ability to work independently with minimal supervision
· Friendly and professional demeanor
· Must be able to pass a drug/alcohol and background screening
RESPONSIBILITIES:
· Driving personal vehicle for a variety of business errands
· Sending Estimates, Invoices and Contracts
· Sending various business emails and correspondence using business email
· Scheduling
· Perform order entry and maintain accurate records of transactions
· Manage calendars, schedule appointments, and coordinate meetings
· Provide exceptional customer service and support to clients
· Assist with office management tasks such as filing, data entry, and organizing documents
· Answer phone calls and direct inquiries to the appropriate personnel
· Act as a personal assistant to executives, handling correspondence and managing their schedules
· Assist in the coordination of events, conferences, and travel arrangements
· Maintain confidentiality of sensitive information
· Calling Leads and follow-up
· Entering leads into lead tracking program
· Detailed note taking at meetings
· Working under time constraints, maintaining strict attention to detail, quickly developing comprehensive knowledge of systems, processes and demonstrating a willingness to learn product, services and acclimate to the company culture
PAY RANGE: $17-$21 (based on experience)
HOURS: FLEXIBLE– 20-40 hours per week
- Employee must be available to work as needed during business hours
- 20 hours per week guaranteed but not always required
- Business hours which employee is expected to be available for work are Monday- Friday, between 8am-5pm with the ability to make up hours on weekends if wanted
