RESPONSIBILITIES:
Position Overview
Administrative Assistant provides administrative support to the Management team as directed by the Leadership Team. The duties of the assistant to include, but are not limited to, composing emails, inter-departmental memos, letters and typing documents. Maintaining spreadsheets for various ongoing projects.
The Administrative Assistant provides administrative support to a Leadership Team of Vice Presidents and Branch Leader. The duties include, but are not limited to, providing support to a team of community managers with a variety of tasks; meeting deadlines with time sensitive projects; collaborating with the Leadership Team; supporting the implementation of company policies and procedures; and exercising confidentiality and good judgment.
Essential Job Functions
- Administrative support to Branch Leader and Leadership Team
- Compose emails, inter-departmental memos, letters and typed documents
- Liaison for all client transitions for exiting communities to new management companies.
- Track and assist in Budget Process
- Track and Maintain Tax Preparation Resolutions / Coordination with CPA’s
- Track / Review tax parcels for all incoming accounts and change billing and notification address
- Track and Maintain Contract Worksheet
- Track Contract Addendums
- Track property tax records and tracking evaluations and billings-Existing
- Track insurance for associations and notifications to managers and VP’s on renewal dates
- Website support for company
- Google Review Tracking
- Arizona Corporation Commission Annual Report filing
Non-essential Job Functions
- Provide return mail back-up support
- Provide back-up support to the front desk / reception area, including assisting for absences, vacations, breaks, etc.
- Provide back-up support for Administrative Support/HR/Training/Corporate/IT
Part-time hours = shift
- 20 hours per week
- 5 hours per day,
- Tuesday - Friday. 10am-3pm.
- Schedule may be subject to change depending upon office needs during regular business hours of 8am-5pm Monday-Friday.

Pay and Benefits:
$20.00 to $22.00, depending on education and experience.
