Position Responsibilities: The Administrative Assistant- Development position plays a pivotal role in supporting all administrative functions and fundraising activities for the Community Relations/ Development Team. This includes database management, record keeping, generating reports, assisting with special events and community relations efforts.
Essential Functions: (Core duties/tasks fundamental and not marginal to the performance of the job)
- Database Management of Sustain, the community relations/donor and list management database. This includes data entry, audit activities, generating reports for different departments, posting and reconciliation of all agency contributions with fiscal, including website payments via Qgiv reports, coordination of activities/events related to the Community Relations/Development/ Community Program Teams.
- Merge, print and mail all donor thank you letters related to fundraising and other activities.
- Provide support and assist with the preparation and execution of special events on event day.
- Maintain Excel spreadsheets tracking the agency support for community events, activities, and other related efforts of friend-raising.
- Inventory and dissemination of marketing and resource materials for agency community outreach efforts.
- Maintain, monitor and coordinate all incoming requests from Community Relations/Development Mailboxes.
- Other tasks as assigned.
Qualifications:
- Associate Degree preferred with a minimum of three years of administrative experience preferably in non-profit development or fundraising,
- Superior computer skills including database management; MS Office Suite (Word, Excel, PowerPoint)
- Internet research abilities required.
- Strong administrative, organizational, and problem-solving abilities, with a knack for systems management and audit abilities to ensure data accuracy.
- Excellent verbal and written communication skills.
- Must be flexible, able to juggle or negotiate priorities and/or deadlines.
- Able to thrive in a dynamic, creative environment by prioritizing work and appropriately managing frequent interruptions.
- Able to consistently maintain a friendly, outgoing nature that includes a sense of humor.
