As the Administrative Assistant supporting the leadership of the Financial Products & Services team for AARP Services, Inc., in the Greater Boston area, you will engage in diverse administrative-level tasks, projects, and programs to bolster business unit or departmental initiatives. Offering crucial financial budgeting and administrative support, you will collaborate with cross-functional teams to streamline business unit operations. Your role involves the meticulous maintenance, management, and evaluation of pertinent business processes.
- Processes and prepares accounting entries for expense reports and budget transfers. Reviews and audits financial statements and reports and ensures all calculations and data entries are correct. Responds to inquiries from internal clients and researches and resolves concerns or discrepancies.
- Supports business unit by regularly providing administrative level support to senior leadership. Prepares budget reports and other materials, schedules meetings for departmental staff, reserves conference rooms, makes travel arrangements and prepares travel expense reports forms.
- Assists on a variety of projects, programs, and initiatives that are typically division-wide or enterprise-wide. Conducts research, summarizes data, creates presentations, facilitates meetings, tracks budget and other project/program activities, organizes and maintains electronic records, and prepares and processes various forms. Analyzes and develops reports and provides recommendations.
- Conducts evaluation of existing business processes for the purposes of identifying and executing on improvement initiatives. Analyzes and tests current processes and systems to determine effectiveness and efficiency. Participates in the process change implementation, adoption, and testing process.
- Coordinates, monitors, and tracks a variety of processes and projects to ensure timely and accurate completion and compliance. Troubleshoots problems, assists staff, and suggests alternatives to make processes more efficient. Ensures adherence to internal and external quality standards.
- High School diploma, GED, or vocational training.
- Proficient in processing and organizing accounting entries for expense reports and budget transfers, showcasing a keen eye for detail in financial tasks.
- Proven experience entering data accurately and carefully checking for errors.
- Keen attention to detail, ensuring accuracy and efficiency in financial processes.
- Excellent interpersonal communication skills, coupled with a track record of successful research and resolution.
- Previous experience in providing support to senior leadership, showcasing an understanding of their administrative needs.
- Demonstrated ability to review and assess administrative processes, proposing and implementing improvement initiatives.
- Proven capability to manage multiple projects simultaneously, even under conflicting deadlines and priorities.
