Mercy Health Clinic serves Montgomery County's uninsured, low-income adult residents and is committed to delivering high-quality primary and specialty care, health education, counseling, and medications to eligible patients. We are a non-profit, non-sectarian community health clinic.
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The successful candidate will play a key role in ensuring the smooth and efficient operation of our office. POSITION SUMMARY:
Serves as the primary point of contact for patients contacting / phoning the clinic to schedule an appointment. The Scheduler answers calls, schedules appointments, returns patient / referring provider calls and prepares patients for the application process when appropriate. This position, working in conjunction with medical support and other admin staff, supports all administrative responsibilities at the clinic including filing, patient eligibility screening, covering the front desk. In addition, this position will support management staff with general administrative tasks as needed. Approximately 20 hours per week will be dedicated to patient scheduling and 20 hours per week will be dedicated to administrative assignments.
QUALIFICATIONS
- Bilingual-Spanish and English speaking.
- Computer literate with competency using Microsoft Word, Excel and similar programs.
- Must be able to learn and become proficient in the use of an electronic medical records system.
- Demonstrated experience using organizational skills, customer service skills and accurately completing tasks in a timely manner.
DUTIES:
- Optimizes patient satisfaction, provider time, and treatment room utilization by scheduling appointments in person or by telephone in an efficient manner.
- Keeps patient appointments on schedule by notifying clinical assistants of patient's arrival and comforts patients by anticipating patient anxieties; answering patient questions, and working with other staff to maintain the reception area.
- Responds to patient calls for new appointments and internal requests for new, follow up and specialty referral appoints in a timely manner.
- Inputs all patient appointments into eCW, and follows guidelines on placing patients with specific providers
- Protects patients' rights by maintaining confidentiality following internal and HIPAA guidelines.
- Receives and enters all medication refill requests from patients in eCW.
- Registers patients, verifies eligibility information, and updates existing patient demographics by collecting detailed patient information in eCW program.
- Receives all mail, faxed medical reports and lab reports, transferring incoming documents and lab results to management and/or the appropriate provider or nurse.
Other Administrative Responsibilities:
- Sends and requests medical records via fax to external providers.
- Collaborates with the training and supervising of volunteers.
- Assists other staff in maintaining business office inventory and equipment by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies; scheduling equipment service and repairs.
- Assist with scheduling and setting up meetings for management staff as needed.
- File paperwork and assist with uploading documentation when assigned.
- Other administrative support tasks, such as data entry and gathering documents as assigned.

- Demonstrates compliance with patient confidentiality (HIPAA regulations)
- Electronic Medical Record (EMR) Experience – eCW software preferred
- Computer literate with Word, Excel, Fax, and Email.
- Skilled in gathering, interpreting and reporting insurance information.
- Skill in trouble-shooting insurance problems and claims
- Other beneficial skills include: knowledge of legal Compliance, Time Management, Attention to Detail, Documentation Skills, General Math Skills and Conflict Resolution.
- Bilingual in Spanish.

Job Type: Full-time
Pay: $17.00 - $20.00 per hour
