Overview
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. As an Administrative Assistant, you will play a crucial role in handling the day-to-day operations. The ideal candidate will have excellent communication skills, strong computer proficiency, and a customer service-oriented mindset.
Responsibilities:
- Provide administrative support to ensure efficient operation of the office
- Answer and direct phone calls, take messages, and respond to inquiries
- Manage calendars, schedule appointments, and coordinate meetings
- Perform data entry and maintain accurate records
- Assist with the preparation of reports, presentations, and correspondence
- Handle incoming and outgoing mail and packages
- Greet visitors and provide them with a positive experience
- Maintain office supplies inventory and send report of items needed to the office manager
- Demonstrate the knowledge and skills necessary to provide care appropriate to the age of the patients served.
- Provide indirect patient care to the adult patient population except for breathalyzers and urinalysis.
- Develop and maintain a healthy relationship with other service providers to gain referrals.
- Provides and executes administrative functions to support Substance Use Disorder Treatment counseling services.
- Performs a variety of typing assignments that are often confidential in nature.
- Prepares a variety of administrative reports, statements and rosters; gathers data and other necessary information.
- Drafts and prepares special reports/analyses for review.
- Establishes, maintains and revises record keeping and filing systems; classifies, sorts and files correspondence, records and other documents.
- Arranges meetings and conferences, schedules interviews and appointments, and performs other duties related to maintaining the supervisor’s work schedule, and patients.
- Answers inquiries concerning activities and operations of the program by referring to and interpreting policies and procedures.
- Transcribe and type accurate and timely minutes for program, service line and departmental staff meetings.
- Ensures appropriate maintenance of departmental equipment and office manuals.
- Orders and maintains departmental office supplies and assists with cost containment.
- Assists in the registering of patients.
- Generate monthly reports for Clinical Director and Clinical Supervisor.
- Demonstrates awareness of federal confidentiality requirements and maintains confidentiality of patient information
- Assist staff with IT related Issues. Provide assistance concerning the use of computer hardware and software, including printing, PC installation, word processing, electronic mail, and operating systems.
- Perform One-on-One trainings with staff on pc operations and software.
- Utilize data system to determine patient eligibility (EVS)
- Perform other duties as required
Experience:
- Previous experience in an administrative role is preferredo
- High School graduate with 4 years of experience.
- Associates Degree with 2 years of experience.
- Minimum of one-year experience working in a residential treatment setting or related field preferred. Must demonstrate basic knowledge of substance use disorder and mental health.
- Proficiency in computer applications such as Microsoft Office Suite (Word, Excel, PowerPoint)
- Experience with customer support and providing excellent customer service
- Strong data entry skills with high attention to detail
- Knowledge of calendar management and scheduling software

Pay: $18.00 - $20.00 per hour

- 8 hour shift
