Admin Assistant
LHH Recruitment Solutions is searching for a full-time Admin Assistant in the Winter Park, FL area. Our client is looking to bring on an Admin Assistant to support the main office and will function as a liaison between front office personnel and outside agencies, vendors, and visitors. This will include processing files, scheduling meetings, maintaining supplies, sorting, answering phones, greeting guests, printing reports, drafting letters, creating spreadsheets and data entry. This role will be in a fast-paced environment and independent projects or tasks. This will be an on-site work position.
Responsibilities
Maintain and file all department records such as correspondence, and receipts according to records management protocols.
Print resumes and distribute daily.
Order supplies for the office
Prepare and send mail via USPS and/or FedEx, drop off as needed.
Receive and process incoming mail and Federal Express and distribute them to appropriate recipient(s)
Coverage for full-time receptionist for daily breaks as well as PTO days.
Submit weekly timesheets for the department.
Act as the main point of contact for all office operation and clients/ customers.
Scan documents and upload to company database
Maintain a high level of professionalism with office staff, Clients and other stakeholders
Ensure data integrity by updating Accounts, and other objects as instructed during and after each customer contact.
Stay updated on product knowledge and take initiative to expand industry knowledge
Accepting service, preparing documents to be forwarded to the clients, emailing copies of documents to clients as needed.
Ensures front office and lobby is kept neat and tidy, ensures copier has paper, supplies are in stock, etc.
Creates new hire packets to ensure there are always packets in stock.
Perform administrative tasks requiring use of standard office equipment
Perform physical and electronic file maintenance and related tasks
Back-up to recruiting team for posting, pre-hire appointments and orientation.
Required Qualifications and Skill Sets
Must have at least 2-3 years of experience as an office admin
Must have a passion for learning and upbeat, ready to go attitude, professional and friendly
Ability to operate most standard office equipment
Strong computer skills and attention to detail
Willing to work as a team but also independently
Excellent spelling, grammar, and written communication skills
Punctuality and reliable attendance during regular business hours
Proficient in Microsoft Office (Word, Outlook), with advanced Microsoft Excel skills
Ability to multi-task, independent thinking or planning skills
Compensation: $17-$19/hr

Pay Details: $17.00 to $19.00 per hour
