Resource Property Management is looking for experienced administrative assistance in the Lakewood Ranch area. We are looking for a portfolio administrative assistant in our Lakewood Ranch office. Experience in community association management or property management preferred!
Administrative Assistant. Requires excellent customer service and computer skills.
Essential Duties and Responsibilities:
- Respond to all voice mail messages and emails within 24 hours.
- Handle telephone calls maintaining a high level of customer service.
- Report emergencies to appropriate manager &/or Executive Team Member immediately.
- Contact vendors for services &/or supplies as needed.
- Utilize OneSource for all aspects of community management.
- Assist manager with timely preparation of board meeting packets.
- Send monthly financial reports to the board within 24 hours of receipt.
- Track annual report filings, 55+ communities, elevator certs, pool permits, etc.
- Process sales/rental applications, gate entry systems, etc.
- Prepare violation letters in a timely manner.
- Maintain clubhouse or media room reservations and property databases.
- Process/scan invoices to Accounts Payable on schedule.
- Filing association records. Purge and box files annually.
- Special projects and or other miscellaneous duties that may arise from time to time.
Education and/or Work Experience Requirements:
- Excellent verbal & written communication skills, including ability to effectively communicate with coworkers, board members, vendors and owners/residents.
- High level of computer proficiency in MS Office and ability to learn OneSource, Homewise & Outlook.
- Ability to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices.
- High school diploma or GED required.

- Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service.
- Ability to safely and successfully perform the essential job functions consistent with RPM's internal procedures and policies as well as all related employee handbooks and training/safety manuals.
- Maintain regular, punctual attendance consistent with RPM policies & practices.
- Must be able to lift and carry up to 20 pounds.
- Must be able to talk, listen and speak clearly on telephone.
Compensation is commensurate with experience.
