JOB DESCRIPTION
The primary responsibilities of a Personal Executive Assistant will be to provide the Chairman and his family with comprehensive support. This dynamic position requires a unique individual that thrives in a fast- paced environment, making high level decisions at a moment’s notice with minimal oversight. The ideal candidate will be well-organized, flexible, and resourceful while managing multiple tasks and projects. They will be willing to tackle any task with enthusiasm and maintain the ability to pivot and adapt to changes in information, direction or priorities with a great attitude reacting with the appropriate level of urgency to any situation that requires a quick response.

ROLES AND RESPONSIBILITIES
•Manage complex and detailed domestic and international travel – including reservation of flights, hotels, carservices and dinners; Check into flights; Manage boarding passes; Confirm contact information for drivers; andCreate itineraries.
•Calendar management – Schedule meetings and calls; Assemble meeting materials; Confirm attendance;Troubleshoot calendar conflicts; Make judgements and recommendations to ensure smooth day to dayengagements; Work confidently within multiple time zones, as needed.
•Provide full travel support inclusive of liaising with House Manager to coordinate logistical details, including but not limited to packing.
•Ensure timely completion of tasks with a high attention to detail to ensure nothing falls through the cracks.
•Provide personal support, including, but not limited to the following – Schedule personal and medicalappointments; Manage insurance reimbursement; Coordinate financial transactions, shipping and receiving purchases.
•Coordinate private events and dinners including maintaining guest lists, organizing seating charts, guest preferences, accommodations, catering and wine choices.
•Schedule household services and oversee work; Communicate with vendors and contractors for on-going and future projects within multiple properties.
•Coordinate and calendar all spa and athletics-related appointments.
•Book meal reservations both at home and abroad and calendar accordingly.
•Work closely with other household staff to ensure smooth communication, workflow, and deliveries.
•Coordinate with outside vendors to ensure proper delivery of various items for both properties.
•Be available to assist with technical screening calls to ensure proper connectivity and no equipment issues prior to important external calls and interviews.
•Coordinate with assistants supporting other Research Affiliates executives to ensure sure calendars are current and accurate.
•Maintain confidentiality of highly sensitive information.
•Other ad-hoc duties, as assigned.
EDUCATION, SKILLS, AND EXPERIENCE
•Minimum of 5+ years’ experience as a Personal Assistant; experience supporting C-Level executives is preferred.
•Experience with family and estate support.
•Bachelor’s Degree preferred.
•Proficient in Microsoft Office Suite.
•Proactive approach to problem solving.
•Technical proficiency and problem-solving skills related to IT support and troubleshooting.
•Strong verbal and written communication skills.
•Appreciation for high fashion is a plus.
•Excellent judgement is essential.
•Good with dogs/pets.
•Experience with high end event planning a plus.
•Calm demeanor.
•Strong interpersonal skills; Attention to detail is paramount.
•Reliable transportation.
•Must pass a background check.
•Valid US work authorization.
This position is based in our Newport Beach, California office. Salary Range: $95,000 - $125,000 + eligible for a discretionary bonus. Base pay will be determined on an individual basis considering such factors as location, qualifications, skills, and experience. The base pay range is subject to change and may be modified in the future.
