Overview

We are seeking an experienced and versatile Personal Assistant to support the CEO in various administrative tasks, as well as manage bookkeeping responsibilities for personal and affiliated small companies. This role requires a proactive individual with expertise in QuickBooks, financial statement preparation, and a high degree of flexibility to assist the CEO in a dynamic environment. The CEO runs both a Real Estate Investment company and an Investment Management company.

This position will play a critical role in handling administrative tasks for the CEO while also managing bookkeeping duties for personal finances and affiliated small companies. This individual will need to balance office-related support, bookkeeping, and personal assistance responsibilities efficiently.

Duties Include:

  • Provide comprehensive personal assistance to the CEO, including managing appointments, correspondence, and personal tasks.
  • Bookkeeping related tasks for personal expenses and multiple small, affiliated companies.
  • Prepare monthly bank reconciliations.
  • Accurately prepare personal financial statements for bank reporting.
  • Utilize QuickBooks to maintain accurate financial records for all entities.
  • Prepare and analyze financial statements for the CEO and affiliated companies.
  • Collaborate with external accountants for tax preparations and audits.
  • Assist the CEO in various office-related tasks, which may include running errands, travel bookings, and follow-ups on office or household-related matters.
  • Maintain confidentiality and discretion with sensitive information.
  • Ensure seamless financial operations and provide support as needed.
  • Ability to prioritize and manage CEO’s tasks and deadlines.
  • Ability to anticipate needs and proactively address any issues.
  • Organize and maintain paper and electronic files.
  • Manage databases and keep records up to date.

Qualifications:

  • Proven experience 5 years as a personal or executive assistant
  • Proficiency in QuickBooks and other accounting software
  • Strong understanding of personal financial statement preparation for bank reporting
  • Exceptional organizational and multitasking abilities
  • Excellent communication and interpersonal skills
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Proactive problem-solving skills and adaptability
  • Flexibility to manage a range of tasks with varying priorities.
  • Additional certifications or education in accounting or finance is a plus.

Job Type: Full-time

Pay: $80,000.00 - $100,000.00 per year
