- Assist the CEO and his wife with various personal tasks, including errands as required, personal shopping, ordering gifts, managing appointments, organizing finances, handling correspondence, reminding of events and milestones, managing household matters, or other requests.
- Schedule appointments and maintain a realistic, accurate calendar
- Supervise and manage household staff (cleaners, cooks, maintenance personnel), and being at the home to oversee deliveries and maintenance work.
- Answer and screen calls and emails
- Drive CEO and his family to client sites and meetings, airport, dinners, events and other appointments as necessary.
- Run errands, as needed
- Scan, organize, and maintain electronic documents, files, and records, ensuring information is accurate, up-to-date, and easily accessible.
- Order essential and non-essential supplies for home and office
- Find ways to surprise and delight employees by ordering gifts, cards, flowers, etc., to show appreciation.
- Research and order company-branded Merch and uniforms for employees.
- Make professional and personal travel arrangements for the CEO, his family, and leadership team including booking flights, accommodations, transportation, and managing travel itineraries. Ensuring all necessary travel documents are in order and necessary arrangements are made.
- Maintain confidentiality and discretion in handling professional and personal sensitive information, documents, and discussions within and outside the organization.
- Work closely with many different people to ensure everyone is on the same page
- 3+ years experience with strong recommendations
- Exceptional communication and interpersonal skills
- Strong organizational skills and the ability to multitask well
- The ability to work well independently and within a team environment
- Must be tech-savvy
- Must have a working vehicle, valid driver’s license, and good driving record
- Must submit to background check
- Proficiency in Microsoft Office, including Word and Excel as well as Google Docs, experience with Photoshop and Canva preferred
- Strong time management skills
- Ability to handle sensitive information with high level of confidentiality and discretion
- Must be a self-starter willing to take on projects and see them through to completion
- Strong navigational skills and experience driving in Los Angeles and Orange County
- Possess excellent written and verbal communication skills
- Interest in the food industry and/or prior experience in entertainment and hospitality business preferred
- Demonstrates thick skin, common sense, discretion, and trustworthiness
- Detailed oriented, organized, and proactive
- Flexible – comfortable working long hours if needed, available to work weekends, evenings, and may include some domestic and/or international travel
