Administrative Assistant/Receptionist
Fowler General Construction is currently seeking a professional, organized, dependable, and energetic Administrative Assistant/Receptionist to join our team. You will work directly with our office staff to ensure all administrative tasks are efficiently and effectively completed. You will need to be comfortable being the primary point of contact for all manners of inquiries and requests, especially manning the front desk/reception area and all incoming calls/emails/faxes/deliveries. Other clerical responsibilities will include organizing and maintaining files, supplies, and equipment. This position wears many hats, with a variety of tasks to be completed to support all departments. The ideal candidate for this position can prioritize tasks and is motivated to complete work with minimal supervision.
Position Requirements:
- Maintain positive and professional staff and client relationships; welcome and greet clients and office guests.
- Support office staff and executives with general operational tasks.
- Plan and schedule meetings, presentations, and other office-related events; send reminders regarding upcoming appointments.
- Suggest changes to office task workflow to improve efficiency.
- Answer phones in a professional manner and direct calls to appropriate persons and take detailed messages. Familiarity with multi-line phones is beneficial.
- Manage communication of information in and out of the office; type out correspondence letters, emails, memos, etc. (paper and electronic); prepare outgoing mail and packages.
- Maintain updated contact information for company employees, suppliers, and customers; keep such information confidential.
- Monitor and maintain office equipment; repair or replace malfunctioning equipment and schedule technicians when required.
- Monitor office supplies; order and re-stock as needed.
- Ensure office is kept clean and organized at all times.
Qualifications & Desired Traits:
- Working knowledge of Microsoft office suite (i.e., Excel, Word, and Outlook).
- Strong interpersonal skills with the ability to communicate well both verbally and in writing with multiple departments.
- Confidently work independently, being proactive to assist others during slow times.
- As the face of the front desk, candidate must represent the company with a professional attitude and appearance. This is a professional place of business.
- Possess a friendly, helpful attitude towards visitors and employees alike.
- Work well and composed under pressure.
