Overview:
As the Administrative Assistant for the Single Family Office, you will be responsible for providing administrative support and assistance to ensure the smooth operation of the principal's personal and professional affairs. This role requires exceptional organizational skills, discretion, and the ability to handle confidential information with utmost professionalism.
Responsibilities:
1. Calendar Management: Coordinate and manage the principal's schedule, including appointments, meetings, and travel arrangements.
2. Communication: Act as the primary point of contact for all communications, both internal and external, ensuring timely responses and maintaining confidentiality.
3. Financial Management: Assist in managing financial and bookkeeping matters such as expense tracking, bill payments, and liaising with financial advisors.
4. Event Planning: Organize and coordinate events, gatherings, and special occasions for the individual.
5. Travel Coordination: Arrange travel logistics including flights, accommodations, transportation, and itinerary planning.
6. Documentation: Prepare and maintain documents, reports, presentations, and other materials as needed.
7. Personal Assistance: Provide personal support as required, which may include errands, household management, and other ad-hoc tasks.
8. Relationship Management: Build and maintain relationships with key contacts including family members, business associates, and service providers.
Qualifications:
- Proven experience as an executive or personal assistant, preferably in a high net worth environment.
- Excellent communication skills with a high level of professionalism and discretion.
- Strong organizational abilities with attention to detail.
- Proficiency in MS Office suite, Google Workspace and other relevant software.
- Ability to multitask and prioritize tasks effectively.
- Knowledge of financial management principles is a plus.
