JOB DESCRIPTION
Position Title: Administrative Assistant – Utilities & Finance
Department: Administration & Finance
Reports To: Finance Director/City Clerk
Union: Yes – FLSA Non-Exempt
GENERAL PURPOSE:
Performs a wide variety of routine clerical, bookkeeping, accounting, and administrative support work. Serves as principal assistant to the Finance Director/City Clerk.
SUPERVISION RECEIVED:
Works under supervision of the Finance Director/City Clerk.
SUPERVISION EXERCISED:
None.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
General:
Serves as a representative of the City of Everson, demonstrating a positive attitude and progressive actions through the display of professionalism, courtesy, and appropriate tact and discretion in all interactions with other employees and with the public.
Must be dependable and meet acceptable attendance requirements at all times.
Follow all applicable safety rules and regulations.
Clerical:
Answers telephone calls, handles questions from citizens and directs the public to the appropriate department.
Greets citizens that enter City Hall and route to the appropriate department.
Financial:
Daily deposit processing.
Daily processing of Utility and general City payments, including online payments and periodic state and county deposits.
Utilities:
Complete the following tasks as assigned by Finance Director/City Clerk or Deputy Clerk/Treasurer:
Process work orders for utility disconnection, reconnections, new orders and other work service requests.
Assist with processing of monthly utility billing; including processing meter reading data, maintaining current customer account files and preparation and mailing of utility bills.
Process utility bill errors and complaints.
Monitor property owner changes for utility accounts and work with title companies to process final billings.
Assist with pursuing collection of delinquent utility accounts, including preparation and mailing of final notices, shut-off and turn-on orders, establishing and monitoring payment schedules, customer follow-up account research, preparing liens and write-offs.
PERIPHERAL DUTIES:
Daily deposit to bank and pickup of mail.
Assist citizens with scheduling of facility rentals.
Passport application processing.
Assist with monitoring of City required licenses and permits.
Order office supplies.
Other duties as assigned by Finance Director/City Clerk or Deputy Clerk/Treasurer.
Attends staff meetings as needed.
DESIRED MINIMUM QUALIFICATIONS:
Education and Experience:
· Graduation from high school or GED equivalent with course work in general office practices such as typing, accounting, data processing, and computer software programs;
· 2 years of related college level training;
· 2 years prior work experience in clerical, secretarial, administrative work; or
· Any equivalent combination of education and experience.
· Spanish fluency
Necessary Knowledge, Skills, and Abilities:
· Considerable knowledge of general office procedures;
· Working knowledge of basic bookkeeping practices;
· Ability to maintain effective working relationships with employees, other departments, officials and the public;
· Ability to maintain accurate records, type and enter data accurately;
· Proficient with the following computer software programs: Microsoft Word, Excel, Publisher, Access, Power Point, and Outlook.
TOOLS AND EQUIPMENT USED:
Personal computer, 10-key calculator, phone, copier, fax machine, scanner, projector and recording system.

Pay: $4,035.00 - $4,904.00 per month
