Job Title: Truck Office Administrative Assistant
Location: Fall River, MA
Department: Logistics and Transportation
Reports To: General Manager
Job Summary: A combination of office administrative work, and driver – truck coordinating. It requires strong computer abilities using Microsoft Excel and Word, as well as very good verbal and written communication skills. This position is suited for a highly organized individual with office experience and an interest in the logistics field and problem solving with little supervision. No prior experience in dispatch or logistics is required, but a strong willingness to learn and adapt is essential.
Responsibilities:
- Keep track of 30 delivery routes and know their basic geographical locations.
- Match specific trucks - to specific drivers -to delivery routes on a daily basis.
- Maintain accurate records of drivers, including their profiles, capabilities, etc.
- Act as the bookkeeper of trucks and their registrations, repair logs, base locations, ensuring that vehicles are appropriately assigned and available for scheduled deliveries and repairs.
- Once trained, demonstrate self-reliance in problem-solving, addressing logistical challenges and resolving issues promptly and effectively and over the phone.
- Type up daily notes pertaining to deliveries.
- Handle late afternoon customer and driver calls, addressing concerns, and providing timely solutions.
- Consistently book weekly appointments for deliveries, driver appointments, pickups, and other logistical activities.
- Help with auto insurance claims paperwork.
Qualifications:
- Experience using Microsoft programs Excel and Word is a must.
- Excellent organizational skills and attention to accurate detail.
- Proficiency in notetaking, typing, with the ability to capture information accurately and efficiently.
- Strong problem-solving abilities and the capacity to work independently to address challenges as they arise.
- Effective communication skills, with the ability to interact professionally with both customers and drivers.
- Empathy and patience in handling customer inquiries and resolving issues in a timely and satisfactory manner.
- Demonstrated ability to consistently schedule and manage appointments, ensuring timely delivery and service.
Work Hours:
- Sunday 5:00pm-6:30pm***
- Monday through Thursday 11:00am-6:00pm
- Friday 11:00am-3:00pm
***Work on Sundays is remote work - upon successfully completing 3 months of training.
Monday through Friday is in-office work.
Job Types: Full-time, Part-time
Salary: $18.00 - $20.00 per hour
Expected hours: 33.5 per week.
