Position: Administrative Assistant to the Deanof Arts and Sciences

Position Overview:
Reporting to theDean of Arts and Sciences, the Administrative Assistant assists in the effective management and functions of the Dean’s office. This includes skilled support in organization, document management scheduling, and communicating with diverse constituents. In addition to assuring effective communication between the Colleges and other University offices, the Administrative Assistant provides day-to-day support for the Dean and supervises any assigned student workers. The Administrative Assistant also provides administrative support for departmental projects across the colleges and handles other tasks as assigned by the Office of Academic Affairs.
Essential job functions:
- Assists the Dean in the management of workflow in the office, including calendaring, document management, budgeting, and employment paperwork.
- Collaborates with the Office of Human Resources, assisting the Dean in employment matters for full and part-time faculty members, as well as summer faculty employment arrangements.
- Assists with faculty searches, supporting search committees, and overseeing plans for interviews and new faculty orientation.
- Assists in managing course schedules and monitoring faculty teaching loads.
- Assists with record-keeping pertaining to annual reports and evaluations and faculty professional development.
- Maintains accurate filing systems including electronic and hard copies.
- Assists the Dean with financial matters and budget oversight, including adjunct and overload costs.
- Assists with planning and coordination of College-sponsored events and programs.
- Manages the collection and maintenance of course syllabi.
- Assists the Dean and the office of Academic Affairs in the supervision of student employees
- Manages the Dean’s calendar of appointments.
- Updates and maintains the College’s web pages and other promotional materials.
- Supports the teaching and research responsibilities of the Dean.
- Assists the Office of Academic Affairs with other duties as assigned.
Qualifications:

- Bachelor’s Degree preferred.
- Minimum of three years of office experience in a clerical, secretarial, or Administrative Assistant role.
- High level of proficiency in word processing, presentation, spreadsheet, database, and desktop publishing applications. Microsoft Office experience and understanding required.
- High level of proficiency in spoken and written English with demonstrated ability to clearly compose and accurately proofread documents.
- Professional appearance with the ability to interact effectively with persons at all organizational levels. Must represent Manchester University with the highest degree of professionalism.
- Ability to interact and work with students, parents, employees, and visitors.
- Ability to be self-reflective, receive feedback and strengthen ability to communicate effectively and respectfully across diverse cultures.

Work schedule: This is a full-time, non-exempt position. Forty (40) hours per week (8:00 am-5:00 pm) will be the general rule. However, depending on the project cycles and workflow demands of the College, additional hours or workday schedule changes may be required occasionally.
