TITLE:Administrative Assistant
DEPARTMENT: Administration
REPORTS TO: President and Executive Vice Presidents
FLSA: Non-exempt
SUMMARY: The Administrative Assistant will assist the President and Executive Vice Presidents with day to day activities and projects which impact overall operations; and provide support as assigned by the President and Executive Vice Presidents, for a variety of tasks. Must be comfortable in a non-smoking work environment.
RESPONSIBILITES:
- Make copies, print documents and obtain supplies for the President and Executive Vice Presidents as needed.
- Maintain all hard copy and digital records for ongoing personal and business projects for the President and Executive Vice Presidents.
- Create well organized, grammatically correct memos and correspondence as directed by the President and Executive Vice Presidents.
- Assist Executive Vice President with special events; set up, supplies, food and special items.
- Order lunch, coffee, etc. and pick up those and other items as needed.
- Use Word and Excel to prepare correspondence and spreadsheets as directed.
- Conduct research, prepare documents and gather information for correspondence and meetings.
- Act as backup for the Receptionist to cover breaks, lunch breaks or days off as needed.
- Maintain the highest level of discretion and confidentiality.
- Must be reliable and have excellent attendance.
- Assist other departments with various clerical and administrative duties as assigned .
SKILLS:
- High school diploma required, Associates degree preferred
- 2-4 years of experience as an Administrative Assistant
- Strong computer knowledge and proficiency in Microsoft Office programs
- Knowledge and proficiency in working with social media platforms
- Excellent attention to detail
- Ability to multitask, accustomed to working under deadlines, coachable, adapts positively and quickly to change
- Excellent written, verbal, communication skills and with high level of accuracy required
- Ability to work independently as well as in a team environment
- Must have acceptable driving record and pass an MVR, drug and background screening

The noise level in the work environment is usually moderate.
