Job Duties:
-Greet visitors
-Answer phone calls
-Assist with all Invoicing ...
-Reconcile bank & acct statements
-Enter work orders for inventory
-Make Collection calls and help with Purchase Orders
-Enter new customers into the system
-Process mail when received
-Process packages when received
Responsibilities:
-Responsible for typing quotations to customers, utilizing accuracy and attention to detail.
-Arrange domestic and international travel reservations, car rentals, and hotel reservations.
-Coordinate spring and fall seminars, e.g., room reservations, meal planning, entertainment, and compilation of notebooks.
-Create and utilize a database for correspondence, nametags, and certificates.
-Maintain files and databases for the sales staff.
-Update and maintain general discount schedules in the price books.
-Maintain inventory of sales literature and assemble sales literature in response to customer inquiries.
-Update and maintain Inquiry Control log.
-Prepare price lists, update price books, and technical manuals used by Sales.
-Update the event calendar and What?s New Sections of the website.
-Assist in conversion to new CRM System.
-Assist in the development and maintenance of a Social Media Plan.
-Assist in the preparation and distribution of Press Releases.
-Assist in the development of direct email campaigns to generate new business.
-Prepare flyers or user manuals for new products.
-Perform other miscellaneous duties as assigned by the supervisor.
Working hours: 8:00 AM - 5:00 PM
Skills:
-Must be proficient in typing (60 wpm minimum).
-Must have knowledge of Microsoft software, Gmail, filing systems, and following general office procedures.
-Able to use a multi-line phone system.
-Ability to grasp new concepts and quickly learn to use the various systems used daily.
-Excellent verbal and written communication skills
-Well-developed interpersonal skills
-Accuracy and attention to details
-Desire to be proactive and create a positive experience for others.
-Ability to create visually appealing images and marketing materials.
-Able to update and use different social media business pages.
Education:
High School
Experience:
1-4 years
Qualifications:
-High school diploma or equivalent required.
-Two years of business, sales, or marketing training preferred.
-Two to four years of administrative assistant/office management experience required.
