The full salary range for this position is posted. New hires typically start between the minimum and midpoint of the salary range. PenMet Parks may offer a slightly higher salary based on experience, internal equity, and factors impacting the market.
Position Title: Division Assistant, Park Services
Supervisor’s Title: Director of Park Services

PURPOSE OF POSITION:
The Division Assistant advances the mission of PenMet Parks by planning and performing office support activities under supervision of the Director of Park Services. This position helps organize office functions, processes, and operations. The assistant will engage with community members, contractors, vendors, and employees.
ESSENTIAL FUNCTIONS/RESPONSIBILITIES/DUTIES:
1. Provides support for the Park Services office including Capital Project Delivery and Park maintenance and operations.
2. Assists Park Services with procurement of services including Architectural and Engineering Services, Public Works projects, materials, supplies and equipment.
3. Ensures contracts and other compliance documents are complete.
4. Assists Park Services staff with community outreach.
5. Provides support to deliver Park Services projects as assigned.
6. Assists with organizing and maintaining Park Services data, files, and records in paper and/or electronic formats. Files all paper and/or electronic documents as appropriate and retains and archives in accordance with the Washington State Retention Schedule.
7. Composes, prepares, and types a variety of correspondence, memos, reports, and other materials.
8. Develops and maintains effective professional relationships with internal and external customers.
9. Ensures work is thoughtfully completed, accurate, and error free.
10. Supports an inclusive work environment that respects diverse ideas, backgrounds, and styles.
QUALIFICATIONS:
Required Experience:
· Two years of combined experience in an administrative role and/or purchasing role.
Required Education:
· High school diploma or GED.
Professional Licenses/Certifications: None.
Knowledge/Skills:
· Has familiarity with municipal bidding and purchasing requirements as defined by Washington State.
· Experience with project management support including project budget support.
· Demonstrates active interest in continual learning to enhance and apply new functional skills.
· Works cooperatively and collaboratively with internal and external colleagues, the Board of Park Commissioners, contractors, partners, and the public.
· Familiarity with municipal requirements as defined by Washington State.
· Demonstrates active interest in continual learning to enhance and apply new skills.
· Familiar with policies and procedures.
· Performs multiple tasks simultaneously.
· Prioritizes and organizes work-based timelines.
· Works cooperatively and collaboratively with internal and external colleagues.
· Possesses excellent written, listening, and verbal communication skills.

WORKING CONDITIONS AND PHYSICAL DEMANDS:
· Work is performed primarily in an office setting.
· Prolonged periods of time may be spent using a computer, telephone, and other office equipment.
· This position will require seeing, talking, walking, standing, bending, and carrying.
· This position will require sitting for long periods of time and walking and/or standing is only required occasionally.
· The position will occasionally require you to lift and carry up to 10 pounds.
