The Office of Professional and Workforce Development (OPWD) is seeking a highly motivated individual to fulfill the role of Administrative Support Assistant. We are in search of a detail-oriented professional who excels both independently and as a valued member of our cohesive team. The incumbent will be tasked with providing administrative and fiscal assistance to students and staff. This role demands exceptional organizational skills and the ability to manage multiple concurrent projects.
The Opportunity
Reporting to the Administrative Specialist II, this position provides program support to staff and students and is responsible for providing administrative and fiscal support for the Office of Professional and Workforce Development (OPWD) located at the Training, Research and Education for Environmental Occupations (TREEO) Center. Responsible for working with OPWD students and coordinators to ensure programmatic activities are completed in a timely and efficient manner.
Provides registration support to career and workforce development students that includes but is not limited to:
- Answers student inquiries related to course availability, locations, cost, and technical requirements.
- Registers or transfers students for courses using information from emails, phone calls, or sign in sheets.
- Processes refunds for cancellations
- Generates invoices as needed for students or organizations.
- Troubleshoot student issues in both the Learning Management and Registration Systems
Provides support to the Office of Professional and Workforce Development by:
- Generating course certificates, name tags, sign in sheets, and special credit sign in sheets
- Scheduling deliveries of course materials for on or off-site courses
- Setting up classrooms, canteen, or demonstration areas for onsite courses
- Assist with program closings by reconciling data in financial and registration systems.
- Serves as backup for Accounts Payable
Database tracking and support:
- Accesses databases to verify student records, generate transcripts, or certificate numbers.
- Enters completions and grades in registration system and verifies information in certification databases.
- Verifies course pre-requisite requirements and obtains certifications if required.
Supports other units within the Office of Professional and Workforce Development (OPWD).

Full-time TEAMS employees will accrue vacation leave at a rate of 6.769 hours biweekly/22 days annually and sick leave at a rate of 4 hours biweekly/13 days annually. In addition, employees are eligible for ten paid holidays each year.
High school diploma or equivalent and one year of relevant experience.
- Experienced in all Microsoft Office applications and PeopleSoft.
