General Responsibilities

Reporting to the Executive Director of Communications & Public Engagement, the Administrative Assistant provides confidential support to the Executive Director, the Communications & Public Engagement department team and programs, and assistance to school district clients while exercising independent judgment in accordance with agency policies, procedures, and regulations.


Salary:

The full annual salary range is $59,046.78 - $71,839.21. Offers are made at the entry level of the range.

Assignment:

This position will work full-time, year round. Interviews have been planned for December 19th and 20th.

Essential Functions/Other Functions

Essential Functions:

  1. Responsible for all aspects of administrative support including but not limited to responding to routine calls, electronic communications, and correspondence, managing Cabinet member's schedule, and managing department subscriptions and supplies.
  2. Create, compose, and/or prepare correspondence documents and written publications.
  3. Collect, analyze, process information and data, and prepare reports.
  4. Process fiscal information including travel, purchasing, reimbursements, and accounts payable; support executive director in maintaining and tracking department and program financial records.
  5. Assist with the planning and coordinating of ESD 112 meetings and events.
  6. Prepare presentations and utilize other communication materials via presentation and digital communications tools (e-communications, social media, etcetera).
  7. Prepare required communications, reports, and correspondence, complete and maintain records.
  8. Develop strong working relationships with ESD staff, board members, school district personnel, clients, regional groups, professional organizations, government officials, community leaders, and other ESD stakeholders.
  9. Support Regional Communications Consortium Group.
  10. Provide support to the CaPE team as assigned.

Other Functions:
  1. Provide general direction to temporary employees as needed and as assigned by Executive Director.
  2. Serve as a liaison to ESD 112 programs, departments, and clients.
  3. Other duties as assigned.

Minimum/Preferred Qualifications & Skills

Minimum Qualifications:

  1. Associate's degree and three years of experience providing administrative support to a senior administrator OR a High School Diploma or GED and five years of experience providing administrative support to a senior administrator.
  2. Experience using Microsoft Office programs including Outlook, Word, PowerPoint, Excel, Google Workspace tools including Calendar, meet, Drive, Docs, Sheets, Slides, Forms, Adobe Acrobat Pro, and managing databases.
  3. Experience using database software.
  4. Experience with basic writing and electronic and written communications correspondence.

Preferred Qualifications and Skills:
  1. Bachelor's degree.
  2. Associate's degree in an Administrative Assistant field
  3. Experience working in an organization governed by a board.

Working Conditions/Employment Requirements

Working Conditions/Physical Requirements:

  1. Hybrid (combination or remote and in office).
  2. Extended or flexible hours to include evenings and weekends as necessary.

Employment Requirements:
  1. Successful completion of a criminal history background check through the Washington State Patrol.
