Job Summary:
Administrative Assistant Accounting is responsible for coordinating, calculating, posting and verifying documents to obtain and record financial data for use in maintaining accounting and statistical records. Receptionist duties for office.
Duties & Functions
Essential
- Daily ACH Duty Payments.
- Check ACH weekly to ensure payables are entered.
- Daily check runs, copy and file checks and mail.
- Check request forms / checks to be checked twice a week.
- Check copies to head office after bank reconciliation is done and checks are three months old.
- Open and distribute mail daily.
- Maintains vendor spreadsheet.
- Makes and files extra copies of expense checks.
- Back up for Accounts Receivable and Accounts Payable.
- Answer incoming calls for entire office and field calls to correct contact or department.
- Customer service skills for communicating with incoming calls and internal communications.
- Match up truck bills with items protected in the computer system. Input truck payments into the computer.
- Pay expense invoices, reconciles bank statements as needed.
- Perform other duties as assigned.
QUALIFICATION STANDARDS
Education & Experience:
· College courses in an associate field preferred.
· Ability to understand and utilize basic computer equipment and applications, to include word processing and spreadsheet applications. Proficient in Excel and Word.
· Possess a broad knowledge of accounting principles.
· Excellent written and oral communication skills.
· Ability to assimilate complex information, data, etc., from disparate sources and consider, adjust or modify to meet the constraints of the particular need.
· Effective at listening to, understanding, and clarifying the concerns and issues raised by co-workers and business clients.
· Excellent organizational skills and be prepared to work as a team player.
Physical requirements:
· Flexible overtime required as needed
· Sedentary work – Exerting up to 10 pounds of force occasionally, and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects.
