Overview:
We are a Food Microbiology Laboratory seeking a highly organized and detail-oriented experienced Administrative Assistant to join our team. As an Administrative Assistant, you will play a crucial role in supporting our daily operations and ensuring smooth office functioning. The ideal candidate will have excellent communication skills, strong organizational abilities, and proficiency in various software applications.
ESSENTIAL FUNCTIONS
- Act as primary receptionist, monitoring front door foot traffic to include greeting customers, vendors, guests of the facility and other visitors
- Act as the point of contact between visitors and staff, receive/screen visitors as needed, take messages, and route correspondence
- Receive, check, and log samples in our Laboratory Information Management System (LIMS).
- Efficiently communicate with our clients through email and phone
- Maintain accurate records and files both electronically and physically
- Assist with data entry, record keeping, and document management
- Arrange courier pickups/drop-offs
- Coordinate office supplies procurement and inventory management
- Perform general clerical duties such as photocopying, scanning, and filing
- Flexible, positive, upbeat attitude
- Attention to detail and ability to work with interruptions
- Willingness to learn and grow
- Able to work in a fast-paced laboratory environment
EDUCATION / EXPERIENCE
- High School Diploma
- Minimum 2 years experience providing administrative support
- Ability to deal with and comprehend technical and scientific data is required
- Strong skills with MS Office including Word,Excel, Outlook, and Sharepoint
- High level of verbal and written communication
