Job Summary:
We are seeking a personable, highly organized, and detail-oriented Administrative Assistant to join our team. The Administrative Assistant will provide high-level administrative support to our Executive Director accomplishing key tasks and company initiatives. This role will be responsible for keeping the Executive Director’s communications organized, manage the ED’s daily calendar, including scheduling meetings, confirming appointments, drafting memos, writing, and editing e-mails, and preparing communications on the executive’s behalf to support efficient workflow. The ideal candidate will have excellent communication skills, strong attention to detail, and the ability to multitask effectively.
The person must be effective in planning, prioritizing and executing tasks in a timely manner. They must also exhibit skills in building & maintaining strong relationships both internally & externally. The ideal candidate is both approachable & respectful and comfortable with technology. To be successful in this role, you should be well-organized, have great time management skills and be able to act without guidance. Ultimately, you will contribute to the efficiency of our organization by providing personalized and timely support.
Additional responsibilities may include
· Maintaining comprehensive and accurate records, meeting minutes, etc
· Organizing meetings, including scheduling and sending reminders
· Answering phone calls in a polite and professional manner
· Welcoming visitors and identifying the purpose of their visit before directing them to the appropriate department
· Managing the Executive Director’s calendar, including making appointments and prioritizing the most sensitive matters
· Perform general clerical duties, including photocopying, faxing, mailing, and filing
· Assist with project coordination by organizing files, documents, and other materials
· Assist with proofreading documents for accuracy and completeness
· Assist with data entry and record keeping tasks
Skills:
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent written and verbal communication skills
- Proficient in using various office software applications (e.g., Microsoft Office Suite)
- Ability to handle sensitive information with confidentiality
- Strong attention to detail and accuracy
- Ability to work independently as well as in a team environment
- Knowledge of phone systems and proper phone etiquette
