Job description
Administrative Assistant’s primary responsibility will be to serve as the initial face of Society and as gatekeeper for information for the public, board members and volunteers. The Administrative Assistant will not be responsible for the planning or execution of exhibits, and events.
The Harwich Historical Society’s main museum is currently under construction. Initial office hours will be both on site and remote until construction is completed. This is a part time position.

Skills
Conversant in Microsoft Office (primarily word and excel), Adobe, WordPress, Mail Chimp or Constant Contact, Canva or other graphic design software, Zoom, and other forms of social media.
Ability to manage multiple tasks, effective use of time.
Respectfully interface with public, docents, volunteers and Board members.
Knowledge of PastPerfect a plus but not necessary.
Administrative Assistant responsibilities
Sort mail and memos, take bulk mailings to Post Office.
Answer phone and relay messages to that person who is responsible for completion of the request. If Administrative Assistant is able to find answer in a few minutes, then will do so. Otherwise, requests are given to others to complete.
On site during hours that building is open to public.
Monitor and order office supplies as needed. Special items as requested.
Maintain files on current policy and procedures (e.g. Volunteer instructions, alarm company instructions, who has keys and codes) as changes are given to Administrative Assistant.
Send printed materials to be reproduced if necessary to be done off site.
Manage reservations for events, take payments via Square/IPAD, including gift shop.
Maintain overall calendar of events, hours open, etc.
Attends various trade meetings: Cape Cod Museum Trail and others as time permits.
Ad hoc member of committees: exhibits, newsletter, volunteer/docents, programs.
When Museum is open to public, responsible for the opening /closing process including alarms.
Coordinate building maintenance with outside vendors and town departments.
Publicity Support
Serves as proofreader for external letters, exhibit copy and newsletter.
Maintains websites and social media and constant contact lists. Posts timely updates as information is relayed to Administrative Assistant.
Creation of annual brochure based on board determined programming.
Volunteer Support
Maintain schedule for volunteers, particularly for open hours of building.
Send out emails seeking volunteers for specific activities as requested.
Exhibit and Event Support as needed
Proofreading of material.
Arranging for the materials to be produced (send/take to printer).
Facilitate set up for in person/online programs and meetings, including remote access.
Job Types: Full-time, Part-time
Pay: $21.00 - $24.00 per hour
Expected hours: 10 – 20 per week
