Administrative AssistantJob Qualifications
- 2 years-experience in an administrative role preferred; financial services experience a plus
- Proactive team-player with strong time-management skills and the ability to meet deadlines in a fast-paced environment
- Client-service oriented with excellent verbal and written communication skills
- Highly organized with strong attention to detail
- A problem-solver with critical thinking skills
- Proficient with Microsoft Office Suite, specifically Word and Excel
- Ability to operate office equipment (copiers, fax machine, postage machine, phone system, etc.)
- Must have the ability to maintain client confidentiality
- High level of personal integrity and commitment to excellence
- Desire to continually learn and improve skills; willingness to obtain Series 7 and Series 66 (or Series 63 and Series 65) a plus

Administrative AssistantJob Responsibilities
- Provide support to senior-level registered and Administrative Assistants
- Assist with preparing client meeting materials and reports, reviewing and filing documents, client mailings, preparing marketing kits, sorting incoming mail, and answering phones
- Prepare and send correspondence; review and process incoming paperwork for new client accounts
- Send documents to broker/dealer or fund companies; manage any follow up communication
- Document all client related activities in CRM in a timely manner with efficiency
- Maintain client relationships via email, phone, online, and in-person meetings
- Process and follow up on fund transfers via check, journal, EFT, or wire transfer in Wealthscape/ICP
- Participate in client staff meetings and make recommendations to systematize and improve office functioning
