(SPSCC) seeks a highly motivated and qualified individual for the position of Administrative Assistant 3 in Facilities.
The Administrative Assistant 3 reports to the Director of Facilities and is responsible for providing high-level administrative assistance to the Director, the Facilities Department and supports the department mission and goals as well as the college mission, goals and core themes.

What You'll Do
Provides Department Purchasing Support
  • Works with the college business office to ensure accurate and timely department procurement of materials and services
  • Enters requisitions into ctcLink; tracks purchases from start to finish
  • Manages purchase card usage in compliance with College policy, including reconciling purchase card expenditures
  • Works with department staff to evaluate costs, estimates and purchase of materials and services
  • Assists in researching appropriate materials and vendors as needed for maintenance, grounds and custodial
  • Resolves discrepancies that may occur
Provide Administrative Support to the Facilities Department
  • Welcomes visitors and serves as point of contact for all incoming calls and mail.
  • Receives calls for service from faculty and staff. Works with department staff to route and dispatch the calls.
  • Serves as liaison to other department staff in relaying assignments and requesting status information
  • Coordinates with other staff members on administrative practices and procedures
  • Assists in the preparation of reports, contracts, and proposals
  • Organizes files and make appropriate distribution of documents
  • Provides proofreading and composition of correspondence
Assists the Administrative Assistant 4 (AA4)
  • Provides back up duties to the AA4
  • Supports procedure and policy writing/editing
  • Serves as back up to training tracking, elevator maintenance tracking and other related tasks

Qualifications You Possess
Minimum Qualifications:
  • High school graduation or equivalent, AND three years of progressively responsible experience in office, clerical, or administrative work; formal education will substitute year-for-year for experience
Preferred Qualifications:
  • Demonstrated commitment to high level customer service
  • Excellent written and verbal communication skills, including good listening skills
  • Ability to communicate and present oneself in a professional manner
  • Ability to work well with others and function as a team member
  • Strong organizational skills, ability to work independently and prioritize multiple tasks, work under pressure, meet deadlines and accommodate numerous interruptions while performing multiple tasks
  • Strong aptitude for attention to detail and accuracy of information
  • Advanced knowledge of computers and software applications, specifically MS Office suite (Word, Outlook, Excel)
  • Ability to work effectively with a diverse population of students, faculty, administrators and support staff in accomplishing tasks

Your paycheck is just part of your total compensation package, with an employee benefits package worth about 30% of your salary.
VACATION AND SICK LEAVE
Annual leave includes vacation, 11 paid holidays, and 12 days of sick leave. Additional leave may fluctuate as a result of the WFSE union bargaining agreement
