Job Summary:
The Division of Community Advocacy and Intergovernmental Relations (DCAIR) houses all of the functions that interface with our members, family members, and other stakeholders. These areas are very important as they ensure the voice of the community is heard. The Office of Individual of Family Affairs (OIFA) within DCAIR is a four-person team looking for a highly motivated individual to join our team as a part-time Administrative Assistant.
This part-time position will offer administrative support to the OIFA staff and will report to the Administrator. OIFA promotes recovery, resiliency and wellness for individuals with mental health and substance use needs. All OIFA staff self-identify as individuals with personal recovery experience and/or family members of a loved one in recovery.
Job Duties:
Major duties and responsibilities include but are not limited to:
• Supports the OIFA team with regularly occurring community meetings and forums (e.g. AHCCCS Hot Topics, System Navigation, etc.). This includes the coordination of presentations, developing educational materials (e.g. event fliers, one-pagers, etc.), and developing and outsourcing AHCCCS monthly announcements.
• Assists with preparations of documents (e.g. agendas, meeting minutes, standards of works, trackers, etc.)
• Tracks and manages multiple projects (e.g. iNet requests, web page management, OIFA inbox, etc.).
• Coordinates and schedules meetings/workgroups assisting OIFA in the identification of system barriers.
Knowledge, Skills & Abilities (KSAs):
Knowledge:
• Principles and practices of administration and management
• Agency or program rules, regulations and operating procedures
• Intermediate knowledge of Zoom, Google suites and Microsoft products, including SharePoint
Skills:
• Strong interpersonal skills with people of diverse cultures and socioeconomic backgrounds
• Effective written communication skills, including writing of reports and general correspondence
• Time management and initiation, with ability to work with little or no supervision
Abilities:
• Organize and prioritize multiple tasks and to re-prioritize as necessary
• Maintain PHI confidentiality
• Demonstrate problem solving capabilities and attention to detail
• Work in a virtual environment
Selective Preference(s):
Minimum: Three years responsible administrative experience; or a Bachelor's degree in a field appropriate to the assignment and two years responsible administrative experience; or a Master's degree in a field appropriate to the assignment and one year responsible administrative experience.
Preferred: Preference will be given to candidates with experience in a healthcare or hospital environment.
Knowledge about mental health and substance use and self-identifies as an individual with personal recovery experience and/or a family member directly supporting someone in recovery.
Bilingual in Spanish language.
