Summary:
TRF Pacific, LLC is looking for an Administrative Assistant to join our property management team. This
person would work with our property managers to oversee and coordinate all management and
administration for the company's portfolio of retail centers and office buildings throughout the Greater

Job Responsibilities:
Property Administration:
- Provide admin support as needed to property managers which includes, but not limited to:
- Expense reconciliations and escalations, invoice coding, research on expenses, budget preparation
- Work closely with property accountants to reconcile statements and research expenses
- Work with vendors
- Support lease administration by maintaining files, materials, information, and schedules
- Notarize leases when needed, track leases and coordinate distribution. Company will assist with obtaining notary.
- Prepare management reports for distribution to owners
- Manage a database of key clients and contacts in Excel
Maintenance Scheduling:
- Support managers on various projects
- Communicate with tenants on upcoming fire/life/safety inspections and utility transfers
- Schedule and coordinate completion of various maintenance activities with vendors
- Follow up on work orders & communicating the status of those open work orders to property managers and tenants
Qualifications:
- Ability to read and comprehend leases, CCR's, and REA's
- Ability to understand P&L, Balance Sheets, and Income statements
- Computer proficiency
- Proficient with Microsoft Office (Excel, Word, Outlook)
- Experience in Sage, Yardi, A Plus
- Must be a self-starter, task-oriented, and able to work independently and in a team setting
- Must be organized and adaptable to changing priorities
- Must be willing to share information and participate in a collaborative team environment in a positive manner
- Excellent people skills with ability to develop effective working relationships with staff, vendors, contractors, and tenants

Salary: $55,000/year + based on experience
