About the Role:
NWS Architects is looking for an Administrative Assistant to support the daily operations of our team in our downtown Chicago office.
Responsibilities include but are not limited to:
- Office Management
- Receive and direct general phone calls
- Receive and direct inquiries generated on the website
- Coordinate events (group outings, lunch and learns, guests, etc.)
- Monitor and order supplies
- Facilitate and monitor IT tickets
- Book/coordinate travel
- Maintain material samples
- Assist with Trainual software maintenance and updates
- Project Management
- Draft proposals for Project Managers
- Set up projects on server and BQE software
- Draft permit responses
- Assist with and track permit submittals
- Accounting
- Assist Project Managers and Accountant with billings in BQE software
- Process and document payments received by mail
- Collections and invoice follow up
- Process vendor invoices in BQE software
- Manage expenses and reports for President
Ideal Candidate:
- At least 2 years of relevant administrative and bookkeeping experience. Experience in an Architecture or Engineering office setting, preferred
- Strong proficiency in Microsoft Office Suite and Adobe Acrobat
- Experience in a professional service Accounting software, preferred
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to prioritize and multi-task
- Positive, can-do attitude and team player
- Willingness to take initiative and complete projects in a timely fashion without excessive oversight
- Quick learner and enjoys solving problems and providing solutions
