SALARY RANGE: $15.00- $19.50
LOCATION: North Lawrence Community Schools Administration Building
Position Overview:
The Administrative Assistant for the Curriculum and Special Education Departments plays a crucial role in supporting the efficient operation of both departments within the local school district. This position involves a combination of administrative tasks, coordination, and communication to ensure the smooth functioning of educational initiatives and special education programs.
QUALIFICATIONS:
- Strong organizational, communication, and interpersonal skills
- Possess characteristics that represent a positive public relations image
- Proven experience in administrative roles, preferably in an educational setting
- Ability to maintain confidentiality and handle sensitive information.
- Demonstrate proficiency in office software (e.g., Microsoft Office Suite, Google platform applications)
- Demonstrate a high level of motivation and strong organizational skills; able to coordinate multiple tasks at one time & prioritize tasks in order of importance
- Ability to establish and maintain effective working relationships with directors, administrators, teachers and staff; ability to communicate professionally, clearly, and concisely in written and oral communication
- High school diploma or equivalent; associate's or bachelor's degree preferred
- Familiarity with curriculum development and special education processes is advantageous
RESPONSIBILITIES:
Curriculum Department Support:
- Assist in the organization and maintenance of curricular materials and instructional resources
- Coordinate trainings, meetings, and events related to curriculum development and implementation
- Manage communication between the Curriculum Department and other district stakeholders
- Compile and maintain accurate records of curriculum-related activities
Special Education Department Support:
- Provide administrative support to the Special Education Department in the areas of grant management, data collections, and compliance monitoring.
- Assist in the coordination of special education meetings, including scheduling, documentation, and communication with parents and staff.
- Maintain confidential records related to special education students.
- Assist with scheduling to provide seamless service delivery to students between teachers, therapists, and other special education professionals.
General Support:
- Secure arrangements for professional development trips for teachers and staff including booking flights, hotel rooms and registering staff for conferences and trainings
- Input data for recordkeeping in multiple software programs
- Track grant tasks, ordering, payment of invoices and reimbursements
- Maintain records of correspondence with administrative staff, principals, teachers, and staff
- Receive, sort, and distribute incoming deliveries, verifying packing lists
- Reconcile expenditure reports with invoices and expenses for the curriculum and special education departments
- Order materials for the curriculum and special education departments in a timely manner
- Handle confidential test results for students; mail confidential communication to parents
- Maintain communication with supervisors on a regular basis
- Attend meetings with administrative staff
- Assist with payroll tasks for the curriculum and special education departments
- Perform other tasks and assume other responsibilities as assigned by the directors, superintendent or their designee
Data Management and Reporting:
- Collect and organize data related to curriculum implementation and special education services
- Generate reports and summaries for department heads to support data-driven decision-making
- Assist in the preparation of reports required by local, state, and federal agencies
Communication and Correspondence:
- Serve as a point of contact for inquiries related to curriculum and special education
- Draft, edit, and distribute correspondence on behalf of department heads
- Maintain effective communication channels within the departments and with external stakeholders
Office Management:
- Manage office supplies, equipment, and facilities for the Curriculum and Special Education Departments
- Support the organization of professional development activities and workshops
- Perform general administrative tasks, such as filing, photocopying, and phone reception
Working Conditions:
Full-time position, Monday through Friday
