Reporting to the Arts & Events Coordinator in the Parks & Recreation Department, the role of the Special Event Assistant is to assist with the planning, organizing, promotion and running Special Events for the community. This position will also assist with acquiring sponsorships for Special Events.
- Assist with coordination of Special Events including set up (moving tables, chairs, equipment, etc).
- Help plan individual events 6-9 months in advance, in conjunction with recreation catalog timeline.
- Assist in soliciting sponsorships from local businesses.
- Assist the Arts & Events Coordinator with event oversight during events.
- Assist with supervision of event volunteers.
- Decorate the Federal Way Community Center seasonally as an avenue for event promotion.
- Help to promote events by taking marketing materials to local businesses, organizations, libraries, etc.
- Solve problems quickly and in a positive manner.
- Provide and maintain high standards of professionalism and excellent customer service to all program
- Assist the Arts and Events Coordinator with maintaining inventory of supplies and equipment.
- Assists Arts & Events Coordinator by tabling broader special community events as needed.
- Communicate effectively and clearly with Arts and Events Coordinator.
- Work with the Parks and Recreation Team at the annual 4th of July event. (Attendance at this event is required, but on a cycle to have every fourth year off.)
- Assist with ensuring vendors have all necessary paperwork complete prior to each event.
- Work Saturdays and evenings (as required for events) with a flexible schedule mutually agreed upon with
- Perform other related duties as assigned.
- Special Event experience preferred but not required.
- Experience working with the public.
- Current First Aid and CPR certificate a plus.
- Fluent in Spanish is an added strength but not required.
- Principles and practices of managing events.
